Job description

Tom Wood Lexus is looking for a sales administrative assistant provides crucial operational support to the sales team, handling data management, order processing, and support to the sales managers with daily administrative tasks. This will be a part time position.
Role Summary:
We are looking for an organized and detail-orientated Sales Administrative Assistant to join our team. In this role, you will be responsible for breaking down deals, processing vehicle orders and deposits, keeping the CRM system up to date with CRM / DMS match reports, and serving as a key point of contact assisting the sales managers with daily administrative tasks.
Key Responsibilities:

  • Break Deals down : Receive, verify, and ensure all documents pertaining to a vehicle deal are accurate and there are no missing documents before sending for funding.
  • CRM Management : Update and keep up-to-date customer records when a deposit is placed and when a vehicle is sold. Running a weekly CRM/DMS match report to ensure all data is correct in the system.
  • Warranty Cancellations/ Processing : Assist with canceling warranties / refunds and notating in the CRM.
  • Deposits: Process vehicle Deposits and update CRM system and software programs to reflect the deposit status
Requirements and Qualifications
  • Minimum education : Technical high school diploma or technologist in administration, marketing or related areas (desirable incomplete or ongoing university degree).
  • Previous experience : Minimum 1 or 2 years of experience in administrative functions, customer service or sales support.
  • Technical skills : Intermediate proficiency in office tools (Microsoft Excel, Word) and familiarity with CRM software such as Vin Solutions or other dealership software.
  • Effective communication : Excellent writing and speaking skills.
  • Organization : Proven ability to prioritize multiple simultaneous tasks in a dynamic, results-oriented environment.
