Job description

We are seeking a highly organized, professional, and service-oriented Administrative Assistant – Customer Service Support to join our team. This position provides essential administrative, front office, and customer service support to ensure smooth daily operations in a fast-paced manufacturing environment. This is a part-time position.

As the first point of contact for visitors, customers, vendors, and employees, this role plays an important part in creating a welcoming and professional workplace experience. The ideal candidate is dependable, detail-oriented, and skilled at managing multiple priorities while supporting leadership, office operations, and customer service needs. Pay is DOE.

Key Responsibilities

Administrative & Office Support

  • Provide administrative support to leadership and various departments.

  • Manage front office operations, incoming calls, visitor interactions, and general inquiries.

  • Maintain office records, phone directories, files, spreadsheets, and administrative documents.

  • Coordinate office supplies, mail, packages, and general office organization.

  • Assist with reports, data entry, document preparation, and special projects.

Visitor, Meeting & Executive Support

  • Coordinate customer, vendor, and visitor experiences from arrival through departure.

  • Schedule meetings, prepare conference rooms, and coordinate meeting logistics.

  • Arrange catering, refreshments, visitor materials, travel details, and accommodations.

  • Support company events, employee activities, and workplace engagement initiatives.

Office Culture & Facility Coordination

  • Assist with employee appreciation events, celebrations, recognition activities, and communications.

  • Coordinate office-related vendors and services.

  • Help maintain a professional, organized, and welcoming workplace environment.

Customer Service Backup Support

  • Provide administrative support to the Customer Service team during peak periods or absences.

  • Assist with order entry, customer files, product information, and customer communications.

  • Support customer service representatives with administrative tasks as needed.

Additional Administrative Support

  • Assist with expense documentation, receipts, purchasing records, and basic tracking activities.

  • Support occasional local errands, post office runs, company vehicle coordination, and business-related transportation needs.

Qualifications
  • High school diploma or equivalent required; associate degree or related experience preferred.

  • 2+ years of experience in administrative support, office coordination, reception, or customer service preferred.

  • Experience in manufacturing, distribution, or building products environments is a plus.

  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams).

  • Strong working knowledge of QuickBooks.

  • ERP/MRP system experience preferred but not required.

  • Excellent organizational skills and attention to detail.

  • Strong communication skills and professional interpersonal abilities.

  • Ability to manage competing priorities in a fast-paced environment.

  • Valid driver’s license with ability to perform occasional business-related errands.
