Job description

At River Road Family Vineyards and Winery, we believe in caring for the planet and the people who call it home. It's a commitment that benefits our employees, our visitors, our business partners, and the community at large.
Join Our Team
River Road Family Vineyards and Winery is looking for an organized, resourceful, and service-minded Office Coordinator to help keep our winery office running smoothly.
As our Office Coordinator, you will be at the center of the day-to-day activity at the winery, providing administrative support to our VP/General Manager, Owner, and leadership team while helping support the broader needs of the business. This is a great opportunity for someone who enjoys variety, likes being the person others can count on, and is comfortable jumping in wherever help is needed.
No two days at the winery are exactly the same. One day you may be coordinating meetings and welcoming visitors, and the next you may be helping prepare for an event or lending a hand during harvest.
ESSENTIAL DUTIES:
  • Serve as the primary administrative support resource for the Winery, ensuring the office operates efficiently and professionally each day.
  • Provide administrative support to the VP/General Manager, Owner, and Winery leadership team as needed while supporting the overall needs of the business.
  • Welcome visitors, customers, vendors, and business partners, creating a positive first impression of the Winery.
  • Answer and direct incoming phone calls, respond to general inquiries, and route requests to the appropriate team members.
  • Coordinate meetings, visitor schedules, employee lunches, and special events, ensuring all details are organized and executed efficiently.
  • Maintain a clean, organized, and well-stocked office environment, including conference rooms, break areas, kitchens, restrooms, and office supply areas.
  • Order, receive, and manage office supplies and other administrative purchases while maintaining organized storage areas.
  • Maintain accurate paper and electronic filing systems and assist with recordkeeping and document organization.
  • Provide administrative support for a variety of Winery functions, including production, sales, hospitality, and operations, as business needs require.
  • Assist with light production or operational projects during busy periods, including harvest, special events, or other peak business times.
  • Support special projects, process improvements, and additional responsibilities as assigned, demonstrating flexibility and a willingness to contribute wherever needed.

QUALIFICATIONS:
  • Minimum of 2 years of experience in an office coordination, administrative, or customer service role; experience in a winery, hospitality, manufacturing, or small business environment is a plus.
  • Strong organizational skills with the ability to manage multiple priorities and adapt to changing business needs.
  • Excellent verbal and written communication skills with a professional and approachable demeanor.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Strong attention to detail, sound judgment, and the ability to handle confidential information appropriately.
  • Self-motivated with the ability to work independently while collaborating effectively with a small, cross-functional team.
  • Positive, service-oriented attitude with a willingness to pitch in and support the team wherever needed.
  • Resourceful, proactive, and eager to learn new responsibilities as the role evolves.
  • Comfortable working in a fast-paced environment where no two days are the same.

COMPETENCIES:
  • Organization & Coordination - Manages schedules, meetings, supplies, records, and competing priorities with accuracy and consistency.
  • Service Orientation - Provides responsive, professional support to employees, visitors, customers, vendors, and business partners.
  • Administrative Excellence - Maintains efficient office systems, organized records, and dependable administrative processes.
  • Communication - Communicates clearly, professionally, and appropriately with individuals at all levels of the organization.
  • Attention to Detail - Produces accurate work, follows through on commitments, and identifies details that may affect office operations or the visitor experience.
  • Adaptability - Adjusts effectively to changing priorities, peak business periods, and a wide variety of assignments.
  • Initiative & Resourcefulness - Anticipates needs, identifies solutions, and takes appropriate action with limited direction.
  • Cross-Functional Partnership - Works collaboratively with leadership, production, sales, hospitality, and operations to support shared business needs.
  • Judgment & Confidentiality - Uses sound judgment and handles sensitive information with discretion and professionalism.
  • Team Contribution - Demonstrates a willingness to pitch in, support special projects, and contribute wherever business needs arise.

WORK SCHEDULE:
  • Full-time, Monday through Friday, generally 7:30 a.m. - 4:00 p.m.
  • Additional hours may be required during harvest, special events, or other peak business periods.

PHYSICAL CAPABILITIES:
  • Ability to regularly stand, walk, bend, reach, and perform routine physical activities associated with office, event, and light operational support.
  • Ability to lift, carry, push, or move items weighing up to 50 pounds, with or without reasonable accommodation.
  • Ability to move throughout office, winery, and operational areas as needed to support business activities.
