Job Summary

The Customer Service Representative is primarily responsible for providing customer service support to the organization by obtaining, analyzing and verifying the accuracy of order information in a timely manner. This position is also responsible for initiating and/or implementing corrective action as needed to ensure that an excellent standard of service and a high level of customer satisfaction are maintained by performing the following duties.

Essential Job Functions
  • Assist with answering phones and redirecting calls to appropriate departments.
  • Handle Customer Calls requesting ETA of items already on order.
  • Handle customer requests for Tracking and Confirmation Information.
  • Handle Customer Inventory and Pricing Inquiries.
  • Contact customers to notify of cancellation of backordered items that become No Source.
  • Run Reports out of the Company's software program to review Open Order Status.
  • Order Entry from customer's faxed purchase orders or via phone orders.
  • Part Allocation.
  • Fax Order Confirmations to customers.
  • Releasing orders that have been placed on hold.
  • Issue Return Authorizations to customers for damages or shipping errors.
  • Investigate and resolve customer problems with deliveries.
  • Develop and maintain customer relationships.
Supervisory Responsibilities

This position has no supervisory responsibilities.

Qualifications

Required Education

  • Associate's degree (A. A.) or equivalent from two-year college or technical school.
  • Education can be substituted for Six months to one-year related experience and/or training.

Required Experience

  • 1-3 years' experience or equivalent combination of education and experience.

Required Licenses and Certifications

  • N/A.

Required Knowledge, Skills, and Abilities

  • Basic working knowledge of MS Office Suite of Programs. Basic Typing Skills.
  • Acceptable level of telephone and communication skills as demonstrated in interviews.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Must have the ability to write routine reports and correspondence.
  • Must be able to speak effectively with customers or employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Must be able to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Must have the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Have the ability to deal with problems involving several concrete variables in standardized situations.
