Job description

POSITION SUMMARY

The Optical Assistant fills vision correction prescriptions, fits and adapts lenses and frames. Day to day duties include record keeping, accounting, inventory, sales, work order placement, and customer service.

MINIMUM QUALIFICATIONS

  • High school diploma or GED required
  • One (1) year of Sales experience preferred

ESSENTIAL SKILLS AND ABILITIES

  • Proficient computer skills
  • Ability to problem solve
  • Detail-oriented
  • Gain a working knowledge of post-operative Medicare, Medicare Replacement, and Medicaid plans
  • Excellent communication skills, proper grammar, and writing capability

  • Self-directed, highly motivated, able to multi-task, and work under pressure in a fast-paced environment
  • Possess a caring, patient, and friendly attitude
  • Gain familiarity with all forms associated with the patientโ€™s medical record

DUTIES AND RESPONSIBILITIES

  1. Greet all patients in a friendly manner
  2. Provide routine cleaning and adjustment services for patients entering into the practice
  3. Educate and assist with the selection of eyewear that is available in the optical department
  4. Order jobs from labs according to practice protocols
  5. Check-in and document all incoming job orders correctly
  6. Collect payment on optical orders
  7. Notify the patient in a timely manner when their order is ready to be dispensed
  8. Ensure all optical boards and surrounding areas are clean and well stocked at all times
  9. File patient insurance claims for glasses
  10. Complete paperwork efficiently and accurately to document sales and patient activities
  11. Ensure the highest level of customer service and patient satisfaction
  12. Process all incoming and outgoing deliveries for FedEx, UPS, etc.
  13. Professional and Personal Development/Goals and Objectives
  14. Exhibit professional demeanor with a positive attitude when representing the practice
  15. Maintain certification, where applicable, and continues to improve skills. Must attend all in-service, webinar training seminars as directed by the Office Team Lead
  16. Set goals and objectives for professional growth. Review and revise goals on an ongoing basis
  17. Provide input on how to improve customer service, decrease costs, and increase revenue for the optical department

  19. Support the practice core values and mission statement to develop, enhance and promote quality customer service through team effort
  20. Exhibit flexibility, sensitivity, and respect while maintaining an effective working relationship with all team members
  21. Maintain practice confidentiality, follow HIPAA guidelines and the rules, and regulations of the practice as documented in the practice employee manual
  22. Maintain standards of productivity as defined by management
  23. Perform other duties as assigned
