We are seeking an organized and detail-oriented Operation Support Specialist for our Project team. In this role, you will provide critical support to our Project Managers by coordinating daily administrative operations, managing project documentation, and tracking timelines. The ideal candidate excels at multitasking, communicates clearly, and thrives in a fast-paced environment.

Essential Duties and Responsibilities: All employees are required to follow all Safety and Quality rules and processes to ensure a safe working environment, and the production of high-quality products.

  • Administrative Support: Manage project calendars, shipping samples and schedule and coordination of meetings.
  • Documentation Management: Organize, update, and distribute project files, including contracts, change orders, meeting minutes, and progress reports.
  • Communication Hub: Serve as a reliable point of contact for stakeholders, vendors, and internal teams, routing messages and answering routine inquiries.
  • Task & Timeline Tracking: Update project management software to track milestones, tasks, and deadlines, alerting management to potential delays.
  • Financial Assistance: Help track project expenditures, compile expense reports, and process invoices or purchase orders.

Requirements & Qualifications

  • Experience: 1-3 years of administrative experience, ideally in a project support role.
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration or a related field is a plus.
  • Software Skills: High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and experience with project tools (e.g., Smartsheet, Procore, Auto Desk, IFS).
  • Organizational Skills: Superior time-management skills with a proven ability to prioritize tasks and meet tight deadlines.
  • Communication: Strong verbal and written communication skills with a professional demeanor.

Work Environment: While performing the duties of this job, the employee is regularly exposed to outside weather conditions. The employee is frequently exposed to moving mechanical parts.
