Key Responsibilities

Business Process Improvement

  • Conduct ongoing assessments of business processes across the organization to identify inefficiencies, bottlenecks, and opportunities for improvement โ€” with or without AI involvement
  • Design and implement process improvements using the most effective approach available: workflow redesign, automation, AI augmentation, or a combination of methods
  • Leverage Claude-based workflows where applicable to streamline document processing, reporting, data analysis, and cross-functional communication
  • Use Claude Code for lightweight scripting, developing agents, and automation of repetitive business tasks without requiring full engineering resources
  • Evaluate emerging AI tools and make evidence-based recommendations for adoption; clearly distinguish where AI adds genuine value versus where traditional process improvement is the right answer

Process Design & Documentation

  • Map current-state business processes and define future-state workflows that incorporate AI assistance
  • Develop standardized process documentation, SOPs, and playbooks for AI-augmented workflows
  • Establish metrics and KPIs to measure process efficiency gains, cost savings, and quality improvements
  • Maintain a portfolio of active process improvement initiatives and communicate progress to stakeholders

Cross-Functional Collaboration

  • Partner with department heads to understand pain points and define improvement objectives
  • Facilitate workshops and working sessions to surface process bottlenecks and co-design solutions
  • Serve as the internal subject matter expert on responsible AI use โ€” setting guardrails, best practices, and governance standards
  • Train and enable employees to confidently use AI tools in their day-to-day work

Data Governance & OneTrust

  • Own and manage data flow documentation within the OneTrust platform, ensuring all business process changes that affect data collection, storage, or transfer are accurately reflected
  • Partner with Legal, IT, and Compliance to maintain up-to-date data flow maps and privacy impact assessments as processes evolve
  • Serve as the primary business-side liaison for OneTrust โ€” coordinating with stakeholders to capture new data flows, remediate gaps, and ensure ongoing program accuracy
  • Identify opportunities to streamline and automate OneTrust data flow maintenance through integrations or templated workflows

Technology Stack Ownership

  • Develop and maintain working knowledge of rf IDEAS' software technology stack โ€” including core business systems across Finance, Operations, Sales, CRM, and IT โ€” to understand how tools interconnect and where process friction originates
  • Proactively identify opportunities to enhance, consolidate, or replace tools based on observed workflow gaps, redundancies, or evolving business needs
  • Provide informed recommendations to leadership on software investments, renewals, and rationalizations โ€” weighing capability, cost, integration complexity, and user adoption
  • Participate actively in the evaluation, implementation, and integration of new software systems โ€” serving as the business process voice during requirements gathering, vendor selection, configuration, and rollout
  • Partner with IT to ensure new tools are integrated in a way that supports clean data flows, reduces manual handoffs, and aligns with existing process architecture

Reporting & Finance Alignment

  • Collaborate closely with the VP of Finance to align process initiatives with financial goals, budget cycles, and operational reporting
  • Support Finance with AI-assisted analysis, forecasting assistance, and reporting automation where applicable
  • Provide regular ROI reporting on completed initiatives to justify continued investment in AI tooling

Required Qualifications

  • BS/BA degree required; preferred focus in Finance, Accounting, Economics, Engineering, Business Administration, or Management Information Systems
  • 7+ years of experience in business process management, operations, or a related field
  • Demonstrated experience deploying AI tools (Claude, ChatGPT, Copilot, or similar) in a professional business context
  • Strong analytical and problem-solving skills with the ability to translate complexity into clear process flows
  • Experience facilitating cross-functional initiatives and managing stakeholder relationships
  • Proficiency in process documentation tools (Visio, Lucidchart, or similar)
  • Strong written and verbal communication skills โ€” able to present technical concepts to non-technical audiences

Preferred Qualifications

  • Hands-on experience with Claude and the Anthropic platform (Claude.ai, API, or Claude Code)
  • Familiarity with prompt engineering and designing effective AI-assisted workflows
  • Lean, Six Sigma, or similar process improvement certification
  • Experience with project management tools (Jira, Asana, Monday.com, or similar)
  • Exposure to ERP or CRM platforms in a process improvement context
