Operations Manager – Special Purpose Preschool & ABA Center

Location: Arundel, ME

We are a growing Special Purpose Preschool and ABA center in Arundel, Maine, serving young children through high-quality, compassionate, and evidence-based services. Our program focuses on early intervention, collaboration with families, and creating a structured, supportive environment where children and staff can thrive.

We are seeking a highly organized, proactive Operations Manager to oversee the daily operations of our center and support the clinical team in delivering exceptional care.

Position Overview

The Operations Manager plays a critical leadership role in ensuring the smooth day-to-day functioning of the preschool and ABA center. This individual partners closely with the Clinical Director to manage staffing, scheduling, onboarding, facility operations, compliance, and family communication. The ideal candidate is detail-oriented, solution-focused, and comfortable managing multiple priorities in a fast-paced healthcare/education setting.

Key Responsibilities

Operations & Staffing

Oversee daily clinic operations to ensure efficiency, consistency, and compliance

Manage staff schedules, coverage, call-outs, and PTO coordination

Support hiring, onboarding, and training of new staff in collaboration with recruiters and leadership

Client & Family Coordination

Serve as a primary operational point of contact for families

Coordinate client intake, scheduling, and startup paperwork

Welcome new families, assist with clinic orientation, and support positive parent experiences

Compliance & Documentation

Ensure operational compliance with state regulations, MaineCare requirements, and company policies

Track credentialing, trainings, and staff compliance requirements

Facility & Vendor Management

Oversee clinic environment, cleanliness, safety, and organization

Manage supplies and inventory

Collaboration & Leadership

Work closely with the Clinical Director and senior leadership

Participate in leadership meetings and operational planning

Support a positive, professional, and team-oriented clinic culture

Qualifications

Bachelor’s degree preferred (Healthcare Administration, Education, Business, or related field)

2+ years of operations, office management, healthcare, education, or clinic management experience

Experience in ABA, early childhood education, healthcare, or behavioral health strongly preferred

Strong organizational, communication, and problem-solving skills

Ability to manage confidential information with professionalism

Comfortable using scheduling, documentation, and practice management systems

Ability to multitask, prioritize, and adapt in a growing environment
