Job description

The Executive Assistant to the Vice President of Advanced Manufacturing provides high-level administrative, operational, and strategic support to the VP and the Advanced Manufacturing leadership team. This role serves as a trusted partner responsible for managing executive priorities, coordinating complex communications, supporting strategic initiatives, and ensuring efficient execution of day-to-day business operations.


Executive Support·       Manage the VP's complex calendar, including scheduling meetings, prioritizing commitments, coordinating multiple calendars, and resolving conflicts.·       Coordinate domestic and international travel arrangements, itineraries, accommodations, and expense reporting.·        Prepare and organize meeting materials, briefing documents, and executive communications.·        Screen, prioritize, and route correspondence on behalf of the VP as appropriate.·        Anticipate business needs, identify priorities, and proactively support executive effectiveness and time management.

Advanced Manufacturing, Department & Leadership Support

  • Coordinate executive meetings, site visits, events, and related logistics for the Advanced Manufacturing department.
  • Prepare presentations, agendas, meeting materials, communications, and executive summaries.
  • Manage project schedules, track action items, and support strategic business initiatives.
  • Develop reports, analyze data, and organize information to support leadership decision-making.
  • Serve as a key liaison between leadership, business partners, and stakeholders across the organization.
  • Support departmental operations, communications, onboarding, expenses, and administrative processes.
  • Ensure timely follow-up, execution, and communication of key business priorities.

  • Handle sensitive business, personnel, financial, and operational information with the highest level of confidentiality and discretion.
  • Maintain records and documentation in accordance with company policies and procedures.
  • Exercise sound judgment, professionalism, and integrity while interacting with leaders, employees, and external partners.
Technical Aptitude & Problem Solving
  • Demonstrates strong technical aptitude and the ability to quickly learn, adapt to, and leverage new systems, tools, and technologies.
  • Troubleshoot scheduling, communication, reporting, and workflow challenges with minimal direction.
  • Proactively identifies process improvement opportunities and recommends more efficient and innovative ways of working.
  • Comfortably navigates and supports a variety of business systems, collaboration platforms, reporting tools, and emerging technologies.
  • Uses critical thinking and analytical skills to solve complex administrative, operational, and business challenges in a fast-paced environment.

  • Bachelor’s degree in Business Administration or a related field, or equivalent combination of education and experience.
  • Minimum of five (5) years of experience providing administrative support to senior executives preferred.
  • Experience supporting executive leaders in a manufacturing or related industry preferred.
  • Advanced proficiency in Microsoft 365 applications, including Outlook, PowerPoint, Excel, Word, and Teams.
  • Experience using project management or project tracking tools such as Smartsheet.
  • Experience managing multiple priorities, projects, and deadlines in a fast-paced environment.
  • Demonstrated ability to exercise sound judgment, maintain confidentiality, and proactively resolve issues with minimal direction.
  • Strong written and verbal communication skills with the ability to build effective relationships across all levels of the organization.
