Job description

PAFA is seeking a solutions-driven Audio-Visual and Operations Coordinator to support classrooms, exhibitions, lectures, and special events across our historic campus. This hands-on role is ideal for someone who thrives in a dynamic environment and enjoys combining technical expertise and operational support to help create exceptional experiences for students, faculty and staff, and visitors.

POSITION: Audio-Visual and Operations Coordinator

The Audio-Visual and Operations Coordinator provides direct technical and operational support across PAFA's campus and departments, supporting audio-visual services, facilities operations, and institutional events. Reporting to the Director of Information Technology, they will serve as a key on-campus resource for classrooms, lectures, meetings, exhibitions, and special events. They will also assist with day-to-day facilities and support tasks to help ensure a safe, organized, and well-functioning environment.

The Coordinator must have a working knowledge of commonly used presentation, sound, and video software on both Windows and MAC platforms, along with a strong eagerness to learn and adapt to modern technologies and systems. The selected individual will be expected to familiarize themselves with PAFA's buildings, equipment, policies, programs, services, and day-to-day schedule of events.

This position requires flexibility, strong technical aptitude, a willingness to learn, and the ability to collaborate across departments in a dynamic, public-facing educational and cultural institution.

RESPONSIBILITIES

Audio-Visual & Technology Support

  • Set up, operate, test, and break down audio-visual equipment for classes, lectures, meetings, exhibitions, and special events.
  • Provide on-site audio-visual support during events and respond to routine requests regarding equipment availability and capabilities.
  • Troubleshoot and resolve minor technical issues related to audio-visual systems, projection, sound, and video equipment; escalate larger issues as needed.
  • Transport, mount, and install projection screens, monitors, display panels, and related audio-visual equipment.
  • Maintain inventory records of all audio-visual equipment and ensure supplies and materials are adequately stocked.
  • Assist faculty, staff, and visitors with basic operation of audio-visual systems as needed.

Facilities & Operational Support

  • Assist with set-up and breakdown of furniture and equipment for events, meetings, and institutional functions.
  • Support mail delivery and internal distribution as needed.

General Responsibilities

  • Collaborate with IT, Facilities, Events, and other departments to support campus operations.
  • Maintain familiarity with PAFA's buildings, classrooms, galleries, equipment, policies, and daily activity schedules.
  • Provide courteous, professional service to staff, faculty, students, visitors, and external partners.
  • Perform other related duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required.
  • 1 – 2 years' experience operating audio-visual equipment, supporting facilities operations, or events preferred.
  • Working knowledge of audio-visual systems, personal computers, and basic troubleshooting techniques.
  • Basic understanding of facilities operations and willingness to perform hands-on operational tasks.
  • Effective communication, organizational, and customer-service skills.
  • Ability to follow oral and written instructions and work effectively as part of a team.
  • Comfort working in a fast-paced environment with shifting priorities.

Working Conditions

  • Ability to stand and walk for extended periods.
  • Ability to lift, push, pull, and carry equipment weighing up to 40–50 pounds.
