Job description

Operations Coordinator


Position Overview

The Operations Coordinator is an entry-level position that supports the day-to-day execution of AGC MA’s operational, programmatic, and marketing functions. Working closely with the Director of Operations and senior staff, this role ensures that internal systems, member-facing programs, and external communications are aligned, efficient, and effective.


The Operations Coordinator serves as an internal resource and is expected to backstop the Director of Operations when needed, ensuring continuity of operations. They will also spend at least 20% of their time supporting workforce development, sustainability, and community engagement.


This is an excellent opportunity for someone beginning their career who enjoys organization, problem-solving, event planning, and learning new technology. The successful candidate will receive hands-on training and gain experience across many aspects of nonprofit association management.


Key Responsibilities

Operations & Administration

·        Respond to inquiries and requests made to the association by directing them to the appropriate staff member

·        Support the daily administrative and operational functions of the Association, ensuring efficiency and consistency across workflows.

·        Maintain and update the association database (GrowthZone), ensuring data accuracy and usability for communications and reporting.

·        Assist with internal systems including website content management, email platforms, and office technology.

·        Coordinate conference room scheduling, internal logistics, and administrative processes.

 

Programs & Events

·        Support the planning, coordination, and execution of AGC MA programs, events, and committee initiatives.

·        Assist with event marketing, registration, logistics, and post-event reporting.

·        Coordinate committee meetings, including agendas, materials, and follow-up actions.

·        Participate in events and external engagements to support member experience and organizational visibility.


 

Strategic & Organizational Support

·        Collaborate with staff to align operations, programming, and communications with organizational goals.

·        Identify opportunities to improve operational efficiency, member engagement, and marketing effectiveness.

·        Assist in the preparation of grant applications and grant reporting to meet all eligibility requirements.

·        Interface directly with grant program participants to facilitate logistics, program delivery, and enhance reporting capabilities.


Qualifications

·        Bachelor’s degree preferred; equivalent experience considered.

·        Recent graduates and candidates with 0-2 years of professional experience.

·        Strong organizational, communication, and time management skills.

·        Experience in Microsoft Office Suite (Outlook, Teams, Excel)

·        Familiarity with AI including ChatGPT and Microsoft Copilot is a plus.

·        Understanding of Microsoft Loop and Planner is a plus.

·        Working knowledge of Canva and Adobe Suite.

·        Familiarity with CRM/database systems (e.g., GrowthZone) and content management systems.

·        Familiarity with marketing tools and social media platforms (Constant Contact, HootSuite) is a plus.


Supervision/Collaboration

Reports primarily to the Director of Operations. Works directly with the Director of Career Development and Industry Inclusion to support MassCEC Grant Programs.


Working Conditions

While performing the duties of this job, the employee is regularly required to sit for long periods of time, talk or hear, and type or write. The employee is frequently required to stand, walk, and see. There may be job site walking, occasional heavy lifting of more than 25 pounds, and work functions with attendance requiring overnight travel, or working late.
