ROLE OVERVIEW:
The Operations Administrator is responsible for supporting the commercial and operational success of the Asset Services business. This role acts as a critical link between operations and commercial teams, ensuring service delivery aligns with client requirements and profitability targets. The specialist will engage directly with clients, vendors, and industry representatives, support bid and proposal development, coordinate logistics, and assist with contract execution to drive business growth and operational excellence.
KEY RESPONSIBILITIES
  • Act as a bridge between on-site teams, regional stakeholders, and clients, ensuring service delivery aligns with client expectations, contract requirements, and profitability targets
  • Collaborate with the bid team to prepare competitive bids, proposals, and presentations for asset/equipment services and workforce solutions
  • Work with estimating, operations, and finance to collect input on scope, costs, and resource requirements
  • Draft and format base-level agreements, scopes of work, and supporting commercial documents
  • Ensure clients feel informed, supported, and cared for every step of the way
  • Represent the company at industry conferences, job fairs, and client/vendor meetings, speaking knowledgeably about service offerings, workforce solutions, and operational capabilities
  • Build and maintain strong relationships with current and prospective clients, vendors, and partners, proactively identifying opportunities for collaboration
  • Coordinate resource allocation, workforce deployment, vendor onboarding, and compliance documentation to ensure timely and efficient project delivery
  • Support setup and mobilization activities for new contracts, including scheduling and logistics planning
  • Work cross-functionally with estimating, finance, HSE, P+C, and project management to ensure seamless handover from commercial to execution phases
  • Assist finance with tracking budgets, contract terms, and payment schedules to ensure profitability
  • Provide operational insight to marketing and business development teams for client-facing materials
  • Monitor active service contracts, ensuring that commitments made during bidding are executed effectively and efficiently
  • Serve as a secondary point of contact for clients during execution, escalating technical or operational issues as needed
  • Prepare and present reports and updates on project status, costs, and resource utilization for management review
  • Ensure all contracts, bids, and site setups comply with company policies, safety protocols, and applicable legal/regulatory requirements
  • Maintain accurate documentation of agreements, proposals, and client communications for audit readiness
  • Perform other duties as assigned or required

WHAT YOU'LL BRING
Education
Bachelor's degree in Business, Engineering, Supply Chain, or a related field (or equivalent work experience) Highly Desirable
Experience
  • Experience in logistics, operations coordination, or commercial support, preferably in asset services/equipment, mining, or industrial services industries
  • Proficiency with Microsoft Office Suite and comfort working with financial and operational data
  • Experience supporting bid development, contract management, or client/vendor engagement preferred
  • Strong business and commercial acumen
  • Excellent written and verbal communication skills
  • Ability to build and maintain relationships with internal and external stakeholders
  • Strong organizational and coordination skills

PHYSICAL REQUIREMENTS
  • Ability to lift up to 20 pounds occasionally (e.g., carrying materials, laptops, presentation equipment)
  • Prolonged periods of sitting or standing at a workstation, in meetings, or during events/conferences
  • Frequent standing, walking, and moving between work areas, client meetings, and conference venues
  • Occasional travel to project sites, client offices, and industry events, which may involve extended periods of driving, air travel, or being on foot
