Job Title: Operational Assistant
Location: Salt Lake City, UT
Shift Timing: Monday - Friday, 8:00 AM - 5:00 PM
Duration: 9 Months
Pay Rate: $21 - $23/hour (W2)
Position Summary
We are seeking a friendly, detail-oriented Operational Assistant to provide both front-facing support and administrative assistance. This role plays a key part in day-to-day operations and provides valuable support to the Human Resources team. The ideal candidate is highly organized, adaptable, and enjoys working in a dynamic office environment.
Key Responsibilities
Operational Support
  • Welcome and assist visitors, including customers, employees, and other guests.
  • Manage front desk operations, including answering phones and handling mail.
  • Coordinate meetings, conference calls, room reservations, and training schedules.
  • Create professional presentations, reports, and newsletters using Microsoft Office or desktop publishing software.
  • Maintain employee ID badges (creation, replacement, and access).
  • Assist in emergency response procedures when needed.
HR & Payroll Support
  • Support staffing and agency communications.
  • Schedule candidate interviews and maintain HRIS records.
  • Assist with employee onboarding and respond to employee inquiries.
  • Maintain and organize employee files, including new hire documentation and ongoing updates.
  • Prepare materials for new hire orientation, including welcome packets, room reservations, and catering coordination.
  • Process e-Verify and notify HR of any non-matches.
  • Coordinate employee programs, such as training, health fairs, recognition events, and holiday activities.
  • Maintain up-to-date employee bulletin boards for compliance.
  • Set up employees in timekeeping systems and assist with LMS portal or payroll system login issues.
  • Support community engagement initiatives and events.
Qualifications
  • High School Diploma or GED required; Bachelor's degree in HR preferred.
  • Previous HR administrative or internship experience is a plus.
  • Proficient in Microsoft Office (Excel, Word, Access, Outlook, PowerPoint).
  • Strong communication, interpersonal, and organizational skills.
  • Able to maintain confidentiality and handle sensitive information.
  • Flexible and able to prioritize tasks in a fast-paced environment.
  • Must be at least 18 years old.
Work Environment & Physical Requirements
  • Primarily a sedentary office role with occasional filing, lifting, or bending.
  • Routine use of office equipment such as computers, phones, photocopiers, and fax machines.
