Job description

JOB PURPOSE:

The Clinic Operations Assistant will be cross trained to rotate coverage for the front desk and as a Medical Assistant aiding the clinical provider. The role will work in collaboration with TeamCare primary care providers to ensure proper oversight and coordination of patient care.

JOB RESPONSIBILITIES:

Administrative Duties:

  • Patient Intake and Check-in:Greeting patients, verifying information, and managing the registration process timely and efficiently.
  • Scheduling Appointments:Booking appointments, managing calendars, and coordinating patient flow.
  • Answering Phones and Handling Inquiries:Answering phone calls, taking messages, and providing information to patients.
  • Managing Patient Records:Maintaining and updating electronic medical records, ensuring accuracy and confidentiality.Ensures chart is available, with relevant lab work and test reports if indicated, for the provider when the provider sees the patient.
  • Billing and Insurance Verification:Verifying insurance information, collecting co-pays, and processing payments.
  • Maintaining Office Supplies:Ensuring the front desk area is stocked with necessary supplies.
  • Maintaining a Tidy and Organized Workspace:Ensuring the front desk and waiting area are clean and presentable.

Clinical Duties:

  • Taking Vital Signs:Measuring height, weight, blood pressure, temperature, EKGs when needed, and all other tests within the scope of the practice. Assist with blood collection/phlebotomy as needed.
  • Assisting with Procedures:Preparing patients for examinations. Setup and assisting providers with basic procedures.
  • In-office Testing:Performing basic in-office tests and collecting/handling lab specimens.
  • Maintain Workflow Efficiency: Assist with maintaining patient flow to and from exam rooms and treatment areas. Assists in escorting patients and specimens throughout the facility.
  • Exam Room Maintenance: Ensures exam rooms, designated equipment and treatment areas are cleaned/sterilized after each patient leaves and prepared for the next patient.
  • Restock Supplies: Stocks exam room/treatment rooms with medical supplies. Notify the Office Manager when supplies are low.
  • Compliance: Update daily/monthly compliance logs.

Skills:

  • Strong Communication Skills:Excellent verbal and written communication for interacting with patients and colleagues.
  • Organizational Skills:Ability to manage multiple tasks, prioritize, and maintain an organized workspace.
  • Computer Proficiency:Familiarity with electronic health record systems and basic computer operations.Experience with Athena EMR preferred but not required
  • Customer Service Experience:A friendly and professional demeanor is crucial.
  • Medical Terminology Knowledge:A basic understanding of medical terms and procedures is helpful.
  • HIPAA Compliance:Adherence to privacy regulations is essential.
  • Teamwork:The ability to work collaboratively with other staff members.
  • Assist with other clinical and clerical duties to ensure optimization of patient experience within the practice.

Schedule: 8:30AM - 5:30PM

Weekly Hours: 40

QUALIFICATIONS:

Education: To qualify you must have a High School Diploma or the equivalent.

Experience:

  • Minimum of one (1) year of Medical Assistant experience.
  • Minimum of one (1) year of experience working with adult population or, if the individual has less than one (1) year of experience but meets all other requirements, must receive appropriate training from the TeamCare organization.
  • EKG experience preferred.

Certification:

  • Completion of a Medical Assistant Program from an accredited institution.

Additional Requirements:

  • Be legally authorized (for example, currently licensed, registered, or certified if applicable) to practice in the State in which the healthcare professional will perform the function.
  • Be medically cleared for communicable diseases and have all immunizations up-to-date before engaging in direct participant contact.

Language: Bilingual preferred.

Physical Requirements

Individuals must be able to sustain certain physical requirements essential to the job. This includes, but is not limited to:

  • Standing - Duration of up to 6 hours a day.
  • Sitting/Stationary positions - Sedentary position in duration of up to 6-8 hours a day for consecutive hours/periods.
  • Lifting/Push/Pull - Up to 50 pounds of equipment, baggage, supplies, and ability to lift patients safely and using OSHA guidelines, etc.
  • Bending/Squatting - Must be able to safely bend or squat to care for patients, use medical supplies, etc.
  • Stairs/Steps/Walking/Climbing - Must be able to safely maneuver stairs, climb up/down, and walk to access work areas Position requires the individual to be able to travel, and walk between sites/locations and work areas throughout the day.
  • Agility/Fine Motor Skills - Must demonstrate agility and fine motor skills to operate and activate equipment, devices, instruments, and tools (ie. typing, use of medical supplies, equipment, etc.)
  • Sight/Visual Requirements - Must be able to visually assess patients, read orders type/write documentation, etc. with accuracy.
  • Audio Hearing and Motor Skills (language) Requirements - Must be able to listen attentively and document information from patients, community members, providers, etc., and intake information through audio processing with accuracy. In addition, must be able to speak comfortably and clearly with language motor skills for customers to understand the individual.
  • Cognitive Ability - Must be able to demonstrate good decision-making, reasonableness, cognitive ability, rational processing, and analysis to satisfy essential functions of the job.
