We are seeking a highly organized, confident, and proactive People Operations Assistant to support recruitment, onboarding, employee records, HR systems, and other People Operations activities.
This role will post preapproved positions, coordinate and conduct interviews for assigned roles, maintain candidate records, and own the onboarding process for assigned new hires. The People Operations Assistant will also monitor established HR workflows, coordinate new-hire reporting, maintain employee documentation, and provide general administrative support to the People Operations function. The People Operations Assistant reports to the Senior People Operations Manager and will work closely with the Office Administrator, particularly when coordinating new-hire equipment, office events, employee celebrations, and other workplace activities. This position will also provide coverage for essential office operations when the Office Administrator is unavailable.
This is a fully onsite, people-facing role requiring professionalism, sound judgment, strong follow-through, and a high degree of confidentiality.
Key Responsibilities
Recruitment & Candidate Coordination
  • Post preapproved job openings across designated recruiting platforms.
  • Review applications and conduct structured interviews for assigned positions, primarily below the Director level.
  • Coordinate interviews between candidates, hiring managers, and other interviewers.
  • Maintain accurate applicant records and recruitment trackers.
  • Communicate with candidates regarding scheduling, application updates, and next steps.
  • Coordinate background checks, reference checks, drug screenings, and other approved pre-employment requirements.
  • Ensure candidates receive timely and professional communication throughout the recruitment process.

Preboarding & Onboarding
  • Own the preboarding and onboarding process for assigned new hires.
  • Send approved new-hire welcome communications and serve as the new hire's primary People Operations contact.
  • Collect and track required new-hire documentation, including Form I-9 requirements.
  • Create and update new-hire records within BambooHR and other approved systems.
  • Coordinate orientation, first-day schedules, introductory meetings, and system-access requests.
  • Work with the Office Administrator to ensure laptops and other required equipment are prepared or shipped before each employee's start date.
  • Follow up with managers and internal stakeholders regarding incomplete onboarding responsibilities.
  • Conduct a final review to confirm each new hire has completed the required steps and is prepared to begin work.
  • Escalate onboarding delays, missing documentation, and employee concerns to the Senior People Operations Manager.

People Operations Systems & Administration
  • Maintain accurate employee files, HRIS information, organizational charts, employee directories, and People Operations trackers.
  • Collect, organize, and file required employee documentation.
  • Monitor People Operations workflows for missing information, overdue assignments, and stalled processes.
  • Track required training, policy acknowledgments, employee forms, and other assigned requirements.
  • Complete routine employment verification requests using approved procedures and templates.
  • Prepare routine reports, correspondence, reminders, and employee communications.
  • Assist with employee-file, onboarding-record, and HRIS audits.
  • Support the development and maintenance of HR forms, templates, checklists, and standard operating procedures.
  • Identify administrative process gaps and recommend potential improvements.
  • Escalate payroll, benefits, performance, employee relations, accommodations, complaints, unemployment claims, and other sensitive matters to the Senior People Operations Manager.
  • Maintain strict confidentiality of employee, candidate, compensation, company, and business information.

New-Hire Reporting & State Registration
  • Complete required new-hire reporting for employees hired in New York and other states.
  • Support initial state employer and unemployment insurance account registration when the company hires its first employee in a new state.
  • Maintain accurate records of applicable states, registrations, and completed submissions.
  • Coordinate with the Senior People Operations Manager, Finance, Office Administrator, and outside vendors to complete assigned registrations.
  • Escalate new-state hires, approaching deadlines, and potential compliance concerns for review.

Offboarding & Company Property
  • Coordinate the recovery of laptops, phones, keys, access cards, and other company property during employee offboarding.
  • Work with the Office Administrator to provide return instructions and shipping materials.
  • Maintain accurate return records and follow up regarding outstanding company property.
  • Escalate delayed, unsuccessful, or disputed returns to the Senior People Operations Manager.
  • Update assigned People Operations systems after company property has been returned.

People Operations & Office Support
  • Support employee communications, training coordination, recognition activities, and employee engagement initiatives.
  • Partner with the Office Administrator to coordinate office events, employee celebrations, company meetings, and other workplace activities.
  • Help maintain a calendar of office events, company meetings, employee celebrations, and key workplace activities.
  • Support event logistics, including scheduling, communications, supplies, setup, and vendor coordination.
  • Provide coverage for essential office operations when the Office Administrator is unavailable.
  • Welcome and assist candidates, employees, visitors, vendors, and delivery personnel.
  • Assist with office supplies, meeting preparation, mail, filing, scheduling, and general administrative responsibilities.
  • Help maintain an organized, professional, and functional office environment.
  • Serve as a positive representative and champion of People Operations.

Qualifications
  • 1-3 years of experience in Human Resources, recruitment coordination, office administration, or a related administrative role.
  • Experience coordinating interviews, communicating with candidates, and supporting onboarding.
  • Experience maintaining confidential employee or business records.
  • Experience supporting office operations in an onsite environment.
  • Strong organizational, time-management, communication, and follow-up skills.
  • Strong attention to detail and commitment to maintaining accurate records.
  • Confidence interacting with candidates, employees, managers, and external partners.
  • Ability to manage multiple responsibilities and time-sensitive deadlines.
  • Sound judgment and the ability to recognize when a matter requires escalation.
  • High degree of professionalism, discretion, and confidentiality.
  • Proficiency with Google Workspace or Microsoft Office.

Preferred qualifications include an associate or bachelor's degree in Human Resources, Business Administration, or a related field; experience using BambooHR or another HRIS; and experience with applicant tracking, onboarding, new-hire reporting, employee records, office events, or multistate employees.
