Infinity Healthcare Services, LLC is seeking an experienced DDD Program Operations & Compliance Specialist to help develop, organize, and support the daily operations of our growing New Jersey Division of Developmental Disabilities program.

The ideal candidate has direct experience within the New Jersey DDD system, is highly organized and self-motivated, and is passionate about creating systems that support quality services and long-term organizational growth.

Position Summary

The DDD Program Operations & Compliance Specialist will work directly with the Administrator and Vice President to coordinate the day-to-day operational, administrative, and compliance functions of the New Jersey DDD program.

The successful candidate will assist with developing operational systems, maintaining regulatory compliance, coordinating participant services, supporting employees, and strengthening relationships with Support Coordinators and community partners.

This position is ideal for an experienced professional who wants to grow within an organization while helping build a successful DDD program from the ground up.

Primary Responsibilities

Program Operations

  • Assist with developing and implementing operational systems for the DDD program.
  • Coordinate participant admissions, transfers, and discharges.
  • Maintain participant intake, referral, and admission tracking systems.
  • Organize and maintain participant records.
  • Ensure participant files remain accurate, complete, organized, and audit-ready.
  • Support daily office operations and administrative workflows.
  • Identify and recommend improvements that increase efficiency, consistency, and organization.
  • Help establish standardized procedures for participant services and program operations.

Compliance and Quality Assurance

  • Help maintain compliance with New Jersey DDD regulations, Medicaid requirements, and provider standards.
  • Conduct routine participant chart reviews and documentation audits.
  • Track regulatory deadlines, renewals, reviews, and required documentation.
  • Assist with preparation for DDD, Medicaid, licensing, and accreditation reviews.
  • Maintain agency policies, procedures, forms, and compliance records.
  • Identify documentation or compliance concerns and communicate recommendations to leadership.
  • Assist with corrective-action planning and follow-up when deficiencies are identified.
  • Help ensure agency practices remain consistent with applicable regulations and internal policies.

Community Outreach and Referral Development

  • Build and maintain professional relationships with Support Coordinators, families, advocates, and community partners.
  • Participate in networking events, provider meetings, and community outreach activities.
  • Follow up on participant referrals and service inquiries.
  • Coordinate participant intake and pre-admission activities.
  • Professionally represent and promote Infinity Healthcare Services within the community.
  • Help develop referral relationships that support responsible program growth.

Human Resources and Staff Support

  • Assist with recruiting and onboarding new employees.
  • Track employee credentials, certifications, background checks, and required training.
  • Maintain complete, organized, and audit-ready personnel files.
  • Coordinate new-hire orientation and annual training requirements.
  • Monitor employee compliance deadlines and follow up on missing documentation.
  • Support staff with operational and documentation-related questions.

Administrative and Executive Support

  • Maintain compliance calendars, operational trackers, and internal monitoring tools.
  • Prepare weekly operational and compliance reports for executive leadership.
  • Coordinate meetings, prepare agendas, and maintain organized follow-up records.
  • Support the development of forms, checklists, procedures, and internal systems.
  • Assist with special projects and program-development initiatives assigned by leadership.

Required Qualifications

  • Minimum of two years of experience working within the New Jersey Division of Developmental Disabilities system.
  • Working knowledge of New Jersey DDD regulations, provider requirements, and service-delivery expectations.
  • Experience maintaining participant records and service documentation.
  • Strong organizational, written communication, and interpersonal skills.
  • Ability to work independently, exercise sound judgment, and manage multiple priorities.
  • Strong attention to detail and ability to maintain confidential information.
  • Proficiency in Microsoft Office, including Word, Excel, Outlook, and related applications.
  • Valid driver’s license, reliable transportation, and ability to travel throughout the community as needed.

Preferred Qualifications

  • Experience preparing for DDD, Medicaid, licensing, or accreditation audits.
  • Prior experience working for a New Jersey DDD provider agency.
  • Existing professional relationships with Support Coordinators or other DDD community partners.
  • Experience with participant intake, referral coordination, admissions, and compliance monitoring.
  • Experience developing operational procedures, compliance tools, or quality-assurance systems.
  • Supervisory, team-lead, or program-development experience.
