About the Position

The Tax Operations Assistant I plays an important role in supporting the successful delivery of tax services by assisting with workflow administration, tax return processing, client communications, and operational support activities. This position helps ensure tax returns and related deliverables move efficiently through the tax process while providing a high level of service to both internal and external clients.
As the Tax Operations function continues to evolve through increased use of technology, automation, and workflow tools, this role will contribute to a more integrated, client-focused, and technology-enabled service model. The ideal candidate is highly organized, detail-oriented, customer-service focused, and comfortable learning new systems and processes in a dynamic professional services environment.
This role is part-time, with a seasonal increase in hours. Employees are expected to work 40+ hours per week from September 1 to April 20, and 20-25 hours per week during the off-season.
Competencies and Position Requirements
Tax Operations & Workflow Support
  • Support the processing, tracking, and delivery of tax returns, extensions, estimates, and related client deliverables.
  • Monitor workflow assignments and due dates to support timely completion of tax engagements.
  • Assist with routing, tracking, and managing work within firm workflow and document management systems.
  • Support annual tax operations projects, including database maintenance, engagement administration, and client communications.
  • Maintain accurate records and documentation within firm applications and databases.
  • Assist with tax return assembly, delivery, and distribution activities.

Client Service & Communication
  • Serve as a professional point of contact for clients by responding to routine inquiries and requests.
  • Communicate with clients regarding tax return delivery, signatures, missing documents, and other administrative matters as directed.
  • Support client onboarding and information-gathering activities.
  • Demonstrate a responsive, professional, and client-focused approach to all interactions.

Technology & Process Support
  • Utilize tax operations technology, workflow systems, and automation tools to support efficient service delivery.
  • Assist with document organization, tracking, and validation activities.
  • Identify workflow issues or process concerns and escalate appropriately.
  • Support process improvement efforts by providing feedback on operational efficiencies and technology utilization.

Team Support
  • Collaborate with tax professionals and fellow Tax Operations team members to meet deadlines and client commitments.
  • Maintain confidentiality of sensitive client and firm information.
  • Assist with special projects and other duties as assigned.

Qualifications
Education and Experience
  • Associate degree in Business Administration, Accounting, Finance, or related field preferred; equivalent experience considered.
  • Previous administrative, client service, operations support, or professional services experience preferred.
  • Experience in accounting, tax, financial services, legal, or other professional services environments is a plus.

Technical Skills
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to learn and utilize workflow systems, document management platforms, and tax-related technology.
  • Experience with software such as CCH ProSystem fx or CCH Axcess, CaseWare, GoFileRoom, or similar applications is helpful but not required.
