Description

Position Summary:

Under supervision, the Compliance & Medical Records Paralegal supports the legal and compliance functions of the organization by ensuring adherence to applicable federal, state, and local laws, as well as internal policies and procedures. This role combines regulatory compliance responsibilities with management, reviews, and protection of medical records in accordance with healthcare privacy laws, including HIPAA.

The position plays a critical role in maintaining the integrity, accuracy, and confidentiality of protected health information (PHI), supporting audits and investigations, and assisting with legal matters involving patient records. The Compliance & Medical Records Paralegal works collaboratively with internal departments and external legal counsel.

Job Responsibilities and Performance Standards:

  • Assists with legal and regulatory research related to compliance and organizational operations
  • Assist in the development, review, and maintenance of policies and procedures
  • Monitor compliance with federal, state, and local regulations
  • Support internal audits, risk assessments, and compliance reviews
  • May assist with investigations of compliance concerns and prepare related documentation
  • Maintain compliance logs, reports, and tracking systems
  • Coordinate with legal counsel and regulatory agencies as needed
  • Collect, review, and organize medical records for legal, compliance, and operational purposes
  • Ensure proper handling, storage, and transmission of PHI in compliance with HIPAA
  • Respond to subpoenas, court orders, and records requests in coordination with legal counsel
  • Redact confidential information prior to record release as required
  • Maintain accurate logs of records requests, disclosures, and authorizations
  • Monitor records retention schedules and ensure proper destruction of records
  • Work with clinical staff to ensure completeness and accuracy of documentation
  • Assist in developing and delivering compliance and privacy training programs
  • Identify potential compliance risks and escalate issues appropriately
  • Promote best practices for privacy, confidentiality, and regulatory compliance

Qualifications

Minimum Qualifications:

  • Associate or bachelor's degree in paralegal studies, Legal Studies, Health Information Management, or related field
  • Paralegal certificate preferred
  • 2+ years of experience in compliance, healthcare, legal support, or medical records management preferred
  • Knowledge of HIPAA and healthcare privacy regulations
  • Strong understanding of regulatory compliance principles
  • Excellent organizational, analytical, and problem-solving skills
  • High attention to detail and ability to manage sensitive information
  • Proficiency in Microsoft Office and electronic records systems (EHR/EMR)

Preferred Qualifications:

  • Experience in behavioral health, substance abuse services, or IDD services
  • Familiarity with subpoenas, legal holds, and litigation support
  • Knowledge of medical terminology and documentation standards
  • Experience working with government contracts or regulatory agencies
