Job description

Vista Equity Partners is seeking an Analyst, Recruiting Operations to support the execution of key talent acquisition processes and initiatives across the firm. This role is central to ensuring a seamless and high-quality experience for both candidates and internal stakeholders.

The Analyst will manage a variety of recruiting operations functions including interview coordination, process tracking, offer letter preparation and administration, onboarding facilitation, and other operational activities that support Vista’s growing and dynamic organization.

  • Coordinate end-to-end recruiting logistics for experienced hire searches across the firm, including scheduling, communications, and interview management.

  • Serve as a primary point of contact for candidates, ensuring an exceptional and professional candidate experience throughout the process.

  • Draft, review, and manage the execution of complex offer letters, including details related to compensation structures, bonus plans, equity components, and relocation or sign-on terms, in partnership with HR and legal teams.

  • Extend offers to candidates and manage communication through acceptance, ensuring accuracy, compliance, and alignment with internal policies.

  • Support new hire onboarding, including system setup, documentation, and coordination with business units, HR, and IT to ensure a smooth transition for incoming employees.

  • Maintain and update candidate data in the Applicant Tracking System (ATS); track and report key recruiting metrics to support process improvement and data-driven decision-making.

  • Partner with recruiters and business stakeholders to ensure timely completion of recruiting-related documentation and approvals.

  • Assist with the planning and execution of recruiting events (both virtual and in-person) and help deliver Vista’s value proposition to candidates at all levels.

  • Contribute to ongoing process improvement initiatives aimed at enhancing efficiency, compliance, and the overall candidate experience.


  • Bachelor’s degree required.

  • Minimum of 1+ years of professional experience, preferably in recruiting, human resources, or related operations.

  • Strong attention to detail and ability to manage multiple priorities in a fast-paced, high-volume environment.

  • Exceptional organizational, communication, and interpersonal skills with a high degree of professionalism and discretion.

  • Proven ability to handle sensitive and confidential information appropriately.

  • Demonstrated sense of urgency, adaptability, and follow-through.

  • Proficiency with Applicant Tracking Systems (ICIMS and Workday a plus), Microsoft Office Suite, and general HR systems.

  • Occasional after-hours work and limited travel may be required.
