Job Summary:  

The Customer Service & Administrative Coordinator provides high-level administrative and operational support to the Hospitality leadership team. This role serves as a key point of coordination across Lodging Operations, Engineering, Property Management, and Guest Services, ensuring efficient execution of daily business processes and supporting an exceptional employee and guest experience.
The ideal candidate is highly organized, detail oriented, customer focused, and able to manage multiple priorities in a fast-paced resort environment.

Job Responsibilities: 

Conference Services / Revenue Support

  • Internal meetings and resort events
  • Strategic partner and stakeholder events
  • Restaurant and catering bookings
  • Golf catering bookings
  • Group servicing and event execution support
  • Community and resort-sponsored events

Administrative Support

  • Provide direct administrative support to Hospitality leadership.
  • Coordinate meetings, calendars, presentations, and department communications.
  • Prepare reports, spreadsheets, meeting materials, and operational summaries.
  • Maintain department records, files, and documentation.

Human Resources & Recruiting Support

  • Assist with recruiting activities, interview scheduling, and onboarding coordination.
  • Support Workday transactions and administrative processes.
  • Track employee training, certifications, and compliance requirements.
  • Assist managers with employee documentation and record management.

Financial & Purchasing Support

  • Process purchase requisitions, invoices, and expense submissions.
  • Monitor departmental budgets and expense tracking.
  • Assist with vendor coordination and procurement activities.
  • Maintain accurate purchasing and financial records.

Operational Coordination

  • Support special projects and departmental initiatives.
  • Coordinate communication between departments and business partners.
  • Assist with staffing reports, labor tracking, and operational metrics.
  • Support seasonal planning and operational readiness efforts.

Guest & Owner Support

  • Respond professionally to guest, owner, and internal inquiries.
  • Assist with issue resolution and follow-up communication.

Job Requirement:

Required

  • High school diploma or equivalent.
  • Administrative customer service, hospitality, or business support experience.
  • Strong Microsoft Office skills, including Excel, Word, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and ability to manage multiple priorities.
  • Ability to handle confidential information with discretion.
