Administrative Assistant

The Temporary Part-Time Administrative Assistant provides administrative and operational support to the Executive Office at ANDRUS. This position assists executive leadership with scheduling, meeting coordination, correspondence, document preparation, purchasing, filing, and special projects.

The Administrative Assistant regularly interacts with staff at all levels of the organization, Board members, children and families, business associates, vendors, and community partners. The successful candidate must demonstrate professionalism, sound judgment, discretion, and the ability to manage sensitive and confidential information.

Schedule: Tuesday, Wednesday, and Thursday, 9:00 a.m.–5:00 p.m., with a one-hour unpaid meal period (21 hours per week)

Essential Duties of the Administrative Assistant:

  • Provide administrative support to the Executive Office, including calendar management, meeting coordination, note-taking, document preparation, purchasing, and follow-up on assigned action items.
  • Receive, screen, organize, and distribute incoming communications by telephone, mail, email, and other electronic means.
  • Prepare, edit, format, proofread, and distribute correspondence, reports, presentations, meeting materials, and other documents.
  • Coordinate meetings, committees, and events, including scheduling, reserving space, preparing agendas, compiling and distributing materials, arranging logistics, and recording meeting minutes.
  • Maintain organized electronic and paper filing systems and ensure records and documents are accurate, complete, and accessible to authorized individuals.
  • Assist with scheduling, monitoring deadlines, and following up on outstanding requests, assignments, and executive priorities.
  • Support departmental purchasing, including preparing purchasing requests, organizing receipts and supporting documentation, and assisting with credit card reconciliation.
  • Assist with agency-related conferences, travel arrangements, accommodations, and other event logistics as requested.
  • Work collaboratively with other Administrative and Executive Assistants and provide coverage when needed.
  • Support special projects and organizational initiatives assigned by Executive Office leadership.
  • Maintain strict confidentiality regarding executive, employee, financial, operational, and organizational matters.
  • Perform other related duties as assigned.

Essential Qualifications of the Administrative Assistant:

  • High school diploma or equivalent required. A college degree is not required.
  • Minimum of two years of administrative assistant, executive office support, office coordination, or related experience required.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience using Adobe Acrobat required; experience with Canva is preferred.
  • Ability and willingness to learn additional software, systems, and organizational processes.
  • Strong written and verbal communication skills, including the ability to provide professional telephone coverage and prepare clear, accurate meeting minutes.
  • Demonstrated ability to communicate professionally with executive leadership, staff, Board members, children and families, business associates, vendors, and community members.
  • Strong organizational, time-management, and follow-up skills, with careful attention to detail.
  • Ability to manage multiple assignments, changing priorities, and deadlines in a fast-paced environment.
  • High level of professionalism, interpersonal skill, customer service, tact, and sound judgment.
  • Ability to handle sensitive and confidential information appropriately.
  • Ability to work independently while also collaborating effectively as part of an administrative support team.

Physical/Travel Requirements of the Administrative Assistant:

An employee in this class must be able to sit, stand, walk, see, climb stairs, and carry up to 30 lbs. The employee must be able to meet these requirements with or without reasonable accommodation.

Must be available to work the established schedule of Tuesday, Wednesday, and Thursday from 9:00 a.m. to 5:00 p.m., for a total of 21 paid hours per week, through mid-November 2026.
