Position: Religious Education Administrative Assistant-St. John the Evangelist
Status: Full-time, Hourly Direct Supervisor: Director of Religious Education
Job Requirements:
• Active Practicing Catholic in good standing with the Church
• Personal Relationship with Jesus Christ rooted in a committed daily prayer life
• Mission-oriented mindset
• Ability to work collaboratively as part of a team and parish family
• Strong organizational, administrative, and communication skills
Education:
• High School diploma or equivalent required; Associate degree or 4-year undergraduate degree preferred
Work Experience and Skills:
• 2-3 years of relevant experience preferred Primary Responsibilities: Administrative & Technology Support
• Maintains working knowledge of Microsoft Office (Word, Excel, Outlook) and Google Drive; willing to learn OSV Church Manager and Flocknote.
• Prepares and manages documents, forms, spreadsheets, mailings, certificates, and reports.
• Creates and maintains digital tools such as Google Forms and SignUpGenius.
• Orders, organizes, and maintains office and program supplies. Communication & Office Support
• Serves as the first point of contact by welcoming visitors, answering phones, and managing voicemails.
• Monitors and responds to email communications, directing inquiries as needed.
• Communicates regularly with parents, catechists, and volunteers regarding schedules, reminders, updates, and cancellations. Registration & Record Management
• Coordinates program registration, including distributing information, processing registrations, and assigning students to classes.
• Maintains accurate records in OSV Church Manager, including student information, attendance, and sacramental preparation data.
• Generates reports related to registration, attendance, and program needs. Program & Catechist Support
• Prepares materials for classes and events, including rosters, name tags, attendance sheets, and activity supplies.
• Maintains and updates class and volunteer records (digital and paper).
• Assists with scheduling and securing substitute catechists as needed.
• Provides logistical support for events, meetings, and retreats, including setup, registration, and cleanup.
Workplace Factors:
• Indoor office environment. Frequent walks to other campus facilities. • Ability to lift 35 pounds and assist with room set-up and breakdown as needed Specific areas of Responsibility: • Meets weekly with the Direct Supervisor.
Other:
• Attend staff meetings and weekly prayer time • Participate in yearly staff retreat (off-site) • Annual performance review • Be present and assist with parish events, formation, and programs as needed
