Showroom Administrative Assistant

We are currently seeking a friendly, organized, and customer-focused Showroom Administrative Assistant to join our Plano showroom. This position plays an important role in supporting our daily showroom operations, assisting customers, and providing administrative support to the Branch Manager and showroom team.

Position Summary

The Showroom Administrative Assistant serves as the first point of contact for customers visiting or contacting our Plano showroom. This role is responsible for delivering outstanding customer service, supporting the Branch Manager with daily administrative and operational tasks, maintaining accurate business records, and ensuring the showroom remains organized, welcoming, and professionally presented.

The ideal candidate is dependable, detail-oriented, enjoys working with people, and takes pride in creating a positive customer experience. Responsibilities

Reception & Customer Service

As the face of our Plano showroom, you will help create an exceptional experience for every customer.

Responsibilities include:

  • Welcome customers visiting the showroom with a friendly and professional attitude.
  • Answer incoming phone calls and direct customers to the appropriate salesperson or department.
  • Schedule customer appointments and maintain an organized appointment calendar.
  • Collect and accurately record customer information for sales follow-up.
  • Respond to general customer inquiries regarding products, showroom services, business hours, and appointments.
  • Assist customers with basic order status inquiries and direct technical or project-specific questions to the appropriate team.
  • Maintain a professional, courteous, and customer-focused experience throughout every interaction.

Administrative & Office Support

Provide administrative support to the Branch Manager and showroom team to help ensure efficient day-to-day operations.

Responsibilities include:

  • Prepare reports, spreadsheets, presentations, and other business documents.
  • Perform accurate data entry and maintain customer records and internal databases.
  • Organize digital and physical files to ensure company records remain accurate and accessible.
  • Assist with scheduling meetings, coordinating calendars, and organizing appointments.
  • Help maintain company forms, documentation, and operational records.
  • Assist the Branch Manager with operational projects, process improvements, and day-to-day business needs.
  • Complete miscellaneous administrative assignments and special projects as requested.

Showroom & Office Operations

Help maintain a professional showroom that reflects the quality of the Luvindow brand.

Responsibilities include:

  • Ensure the showroom remains clean, organized, and customer-ready throughout the day.
  • Maintain reception, meeting areas, and customer-facing spaces in a neat and professional condition.
  • Organize brochures, catalogs, product samples, and marketing materials.
  • Assist with preparing the showroom for customer meetings, product demonstrations, and company events.
  • Help maintain an organized office environment that supports efficient daily operations.
  • Monitor office and showroom supplies and notify management when replenishment is needed.
  • Support the overall day-to-day operations of the showroom as needed.

Qualifications

Required

  • High school diploma or equivalent.
  • Strong verbal and written communication skills.
  • Professional, friendly, and customer-focused attitude.
  • Strong organizational skills and attention to detail.
  • Basic computer proficiency, including Microsoft Office (Word, Excel, Outlook).
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
  • Reliable, dependable, and able to work independently while contributing to a team.

Preferred

  • Previous experience in customer service, reception, office administration, or administrative support.
  • Experience with data entry, scheduling, and record keeping.
  • Experience in the window and door, construction, home improvement, or building materials industry is a plus.
  • Bilingual (English/Spanish or English/Chinese) is a plus but not required.

Compensation

Pay: $18.00–$28.00 per hour, depending on experience and qualifications.
