Job description

Position Summary:
The Operations Manager is responsible for overseeing the daily operations of the substance abuse treatment facility to ensure high-quality patient care, regulatory compliance, staff support, and efficient program operations. This role works closely with leadership to maintain a safe, therapeutic, and compliant environment while supporting the organization’s mission of recovery and wellness.

The Operations Manager supervises operational functions including staffing coordination, facility management, client services support, compliance monitoring, and interdepartmental communication to ensure smooth and effective operations across the facility.

Essential Duties and Responsibilities:
  • Oversee the day-to-day operations of residential and/or outpatient substance abuse treatment programs.
  • Ensure compliance with all federal, state, local, AHCA, DCF, Joint Commission, and Medicaid regulations.
  • Collaborate with clinical leadership to support quality patient care and program effectiveness.
  • Monitor staffing schedules and operational coverage to ensure adequate support for all shifts.
  • Assist with recruitment, onboarding, orientation, and training of operational staff.
  • Conduct routine audits of facility operations, documentation, and compliance requirements.
  • Develop and implement operational policies, procedures, and workflow improvements.
  • Address operational concerns, incidents, and employee issues in a timely and professional manner.
  • Ensure the facility maintains a safe, clean, and therapeutic environment for clients and staff.
  • Coordinate with vendors, maintenance teams, and external service providers as needed.
  • Assist leadership with budgeting, inventory management, and cost control measures.
  • Monitor employee performance and provide coaching, corrective action, and support when necessary.
  • Participate in leadership meetings and provide operational updates and recommendations.
  • Support crisis management and emergency response procedures when needed.
  • Maintain confidentiality and compliance with HIPAA regulations.

Qualifications:
  • Bachelor’s degree in Healthcare Administration, Business Administration, Human Services, or related field preferred.
  • Minimum of 3–5 years of operational management experience in healthcare, behavioral health, or substance abuse treatment.
  • Knowledge of substance abuse treatment operations, regulatory requirements, and compliance standards.
  • Strong leadership, organizational, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office and electronic health record systems.
  • CPR/First Aid certification preferred.
  • Valid driver’s license and ability to pass background screening and drug testing.

Preferred Skills:
  • Experience working in residential treatment settings.
  • Knowledge of DCF, AHCA, Medicaid, and Joint Commission standards.
  • Experience managing staffing schedules and employee relations.
  • Ability to lead teams while promoting a positive and professional work culture.

Work Environment:
  • Fast-paced behavioral healthcare environment.
  • May require occasional evening, weekend, or on-call responsibilities.
  • Ability to walk throughout the facility and respond to emergencies as needed.

Physical Requirements:
  • Ability to sit, stand, bend, and walk for extended periods.
  • Ability to lift up to 25 pounds occasionally.
