About the Opportunity

Heartfire, an Ameriprise Private Wealth Advisory Practice, is seeking an experienced, highly proactive Operations Manager to play a critical leadership role within our growing wealth management practice in Dunedin, Florida.

The Operations Manager will be responsible for helping translate the firm's vision and strategic priorities into consistent day-to-day execution. This person will oversee practice operations, establish accountability, improve processes, implement technology, analyze practice data, and help ensure that priorities are completed accurately and on time.

What You'll Do

Practice Operations & Accountability

  • Oversee the day-to-day operational execution of the practice
  • Establish and maintain processes that create consistency, accountability, and a high-quality client experience
  • Monitor CRM tasks and workflows to ensure responsibilities are being completed
  • Hold team members accountable for deadlines, processes, and quality standards
  • Identify gaps in execution and work with team members and leadership to resolve them
  • Develop and improve standard operating procedures
  • Regularly review and refine SOPs and workflows as technology and practice needs evolve, while developing and documenting processes for initiatives such as client acquisitions.
  • Help establish clear ownership and accountability across the team

Technology & Process Improvement

  • Evaluate and implement new technology, tools, and workflows
  • Help the team maximize the capabilities of the firm's technology stack
  • Identify opportunities to leverage AI and automation to improve efficiency
  • Help ensure technology is being used effectively and consistently
  • Stay current on new tools and industry developments that may benefit the practice
  • Lead projects from concept through implementation

Practice Analytics & Reporting

  • Monitor practice reports and key performance indicators
  • Analyze trends and identify areas for improvement
  • Pull, filter, organize, and manipulate CRM and other practice data to generate meaningful insights
  • Help leadership understand what is working, what is not, and where changes should be made
  • Develop reporting processes that support better decision-making

Client Experience

  • Help maintain a consistently high level of service across the practice
  • Understand the client experience from initial contact through ongoing service
  • Identify opportunities to improve the client experience and ensure those standards are reflected throughout the team
  • Help identify operational issues before they impact clients
  • Maintain a high standard of professionalism consistent with a private wealth management environment

Growth & Strategic Execution

  • Help turn the firm's strategic vision and quarterly priorities into actionable plans
  • Track initiatives and ensure progress continues
  • Support implementation of marketing, business development, and practice-growth initiatives
  • Help identify and implement new roles, processes, and resources as the practice grows
  • Participate in recruiting and help evaluate future team members
  • Help integrate new employees into the practice
  • Develop plans for incorporating additional advisors, employees, or acquired practices into the firm's operating structure
  • Help the practice scale while maintaining its standards of quality and client service

Team Leadership

  • Provide operational leadership and accountability to the entire team
  • Partner closely with the leadership team to execute the firm's goals
  • Be comfortable respectfully challenging leadership when agreed-upon processes or commitments are not being followed
  • Foster a culture of ownership, collaboration, and continuous improvement
  • Help create an environment where team members understand what is expected and take responsibility for delivering results

What We're Looking For

  • 5+ years of relevant financial services, wealth management, practice management, or operations experience
    • Experience working within a financial planning or wealth management practice strongly preferred
    • Experience as a financial advisor, operations leader, practice manager, senior client service professional, or similar role preferred
    • Ameriprise experience is a plus
  • Securities licensing preferred
  • Bachelor's degree preferred, but not required for a highly experienced candidate
  • Strong understanding of how a financial planning/wealth management practice operates
  • Experience with CRM systems, preferably Salesforce
  • Experience with financial planning and wealth management technology, preferably including MoneyGuide
  • Strong Excel, reporting, and data analysis skills
  • Ability to analyze practice data and turn it into actionable recommendations
  • Strong project management skills and demonstrated ability to take initiatives from beginning to end
  • Experience developing or improving processes and procedures
  • Strong understanding of client service and the expectations of a high-net-worth/private wealth environment
  • Comfortable working with and implementing new technology and AI tools
  • Strong communication and interpersonal skills
  • High degree of professionalism, maturity, and sound judgment
