Executive Assistant

Based in Cranston, Rhode Island, Met-Cap Management, LLC is the core of a diverse portfolio of owned and operated businesses. Our operations include a successful chain of multi-branded retail stores, two bi-coastal B2B and D2C global distribution and fulfillment centers, the development and go-to-market strategies for several proprietary brands, and a robust property management division.

We are currently seeking a highly organized and proactive Executive Assistant to support our Chief Operating Officer (COO). This role is ideal for a dynamic individual capable of managing a broad range of executive and personal tasks with professionalism, efficiency, and a commitment to confidentiality.

Essential Functions:
  • Provide high-level administrative support to the COO, including managing calendars, scheduling meetings, and coordinating travel.
  • Prepare reports, presentations, and meeting materials, ensuring accuracy and professionalism.
  • Serve as a liaison between the COO and internal/external stakeholders, facilitating effective communication and timely responses.
  • Handle personal tasks for the COO, such as managing household staff, scheduling appointments, and coordinating family events.
  • Maintain the COO's personal calendar to ensure a seamless integration of personal and professional commitments.
  • Assist with special projects, including research, event planning, and project coordination as assigned by the COO.
  • Track and follow up on various tasks and projects, ensuring timely completion and proactive communication on any delays or issues.
  • Organize and coordinate meetings and special events, handling scheduling, logistics, and agenda preparation.
  • Handle sensitive information with utmost confidentiality and discretion.
  • Maintain a high standard of professionalism in all interactions, both internal and external.
  • Perform additional duties as assigned.
Requirements:
  • A minimum of 5 years of experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Strong organizational and time-management skills with the ability to prioritize and work independently.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Flexibility and adaptability to shifting priorities and demands.
