SUMMARY:
This position provides confidential administrative support to the COO and leadership team, fostering trust and representing commitment and dedication to our stakeholders The person in this position exhibits high-level discretion; facilitates communications, and works effectively with efficiency, integrity and diplomacy.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Provide administrative support to the COO
  • Manage emails, phone calls, and other communication
  • Represent the COO and Foundation to internal and external stakeholders
  • Manage COO calendar
  • Schedule and manage meetings, collaborating with technology, and resolving conflicts
  • Manage documents, agendas, power point presentations and reports
  • Prepare presentations and reports, managing sensitive information
  • Provide support to other leadership team members, in particular schedule coordination and meeting preparation
  • Manage departmental deadlines
  • Research and compile information, identifying key considerations and making recommendations
  • Maintain procedures and other controls necessary in carrying out tasks
  • Provide backup support to President/CEO when needed
  • Handle confidential organizational, financial, and personal information with high integrity

OTHER DUTIES AND RESPONSIBILITIES:
  • Exhibit strong written and verbal skills
  • Continued industry education and personal development as it pertains to the role and the Foundation
  • Other tasks as requested

Requirements
QUALIFICATIONS AND EXPERIENCE:
  • Experience managing multiple assignments/projects and conflicting priorities with the pressure of short, demanding deadlines in a fast-paced environment
  • Experience in high-level administrative tasks
  • Proficiency in Microsoft Office Suite and other organization systems
  • Excellent written and verbal communication skills
  • Basic understanding of audio/video equipment
  • Maintain confidentiality as required and appropriate

PHYSICAL/MENTAL/VISUAL DEMANDS AND WORK ENVIRONMENT:
  • This job is conducted in an office work environment, sitting most of the time
  • Approximately 80% of this position's duties require use of a computer
  • Must be able to exert up to 20 lbs. of force occasionally
  • Some travel required
