Key Responsibilities

Grants Administration & Complianceย 

  • Maintain HGOโ€™s institutional grants calendar, including submission deadlines, reporting schedules, payment timelines,ย sponsor benefits,ย and stewardship requirements.ย 
  • Track proposal submissions, award status, funding allocations, and reporting deliverablesย in Tessitura.
  • Prepare and assemble required documentation for proposals and reports, includingย financial statements, budgets, board lists, attachments,ย and otherย supportingย materials.ย 
  • Coordinate across HGO departments to gather information for grant reports and compliance requirements, and toย facilitateย timelyย distribution of grant funds.
  • Maintain organized digital grant files and ensure records areย audit-ready.ย 
  • Monitor grant agreements to ensure deliverables, recognition requirements, and reporting obligations are met.ย 

Corporate Sponsorship Benefit Fulfillmentย 

  • Coordinateย logisticsย forย sponsorย benefits with Audiences and Events teams, including ticketing, recognition, signage, hospitality details, and on-site experiences.ย 
  • Maintainย documentation confirmingย fulfillmentย of sponsor commitments.ย 
  • Represent Houston Grand Opera at performances andย special eventsย as needed, serving as a professional point of contact for corporate sponsors and institutional funders and ensuring exceptional hospitality and service.ย 

Administrative & Team Supportย 

  • Support meeting coordination andย prepareย materials for institutional funders and corporate partners.ย 
  • Collaborateย with Philanthropy Operations regularly to ensureย all Institutional constituentsย are properly connected to currentย trustees, staff, and primary contacts.ย 
  • Maintain Institutional Partnershipsย project management systemsย withย accurateย andย timelyย information.
  • Contribute to cross-team fundraising projects and events, and support special initiatives as requested.ย 
  • Partner with Finance to obtain data for budget development and grant reporting.ย 
  • Partner with Signature Events toย ensure an exceptional experience for institutional donors and corporate sponsors.
  • Supportย data management needs for the Institutional Partnerships team in Tessitura, ensuring data integrity and supportingย accurateย reporting and financial forecasting.ย 

Qualifications

Candidates shouldย possessย a bachelor's degree (or relevant experience) and two years ofย demonstratedย office experience, with strong project management and administrative skills.ย Proficiencyย in Microsoft Office applications isย required. CRM database experience, especially Tessitura, isย stronglyย preferred. Outstanding interpersonal and telephone skills areย required, and enthusiasm for superior customer/donor service is a priority. Must be available to work nights and weekendsย asย required.ย
