Order Processing SpecialistWhat we are looking for:

The Order Processing Specialist is responsible for accurately processing machine and component orders and responding to RFQ requests. Additionally, this role provides exceptional customer service by identifying and resolving machine and component order-related issues. This role collaborates closely with the Shipping, Purchasing, Accounting, and Technical Support teams to ensure timely and accurate component order fulfillment in accordance with departmental SLAs. The specialist operates in a fast-paced environment and focuses on delivering efficient, reliable, and professional customer support.

Back to the role:

What you will do:
  • Accurately enter and manage Purchase Orders in Epicor for components and machines.

  • Respond to customer inquiries from the Component Sales queue, emails, and Online Parts Store, providing information on product, order status, and account support.

  • Handle RFQ (Request for Quote) submissions for Component Sales by identifying customer needs, providing accurate pricing and lead time, and offering product recommendations.

  • Create and manage component Return Merchandise Authorizations (RMAs), credit memo requests, and arrange shipment pickups for return orders.

  • Review and prioritize urgent orders (e.g., RED, BLUE, and AIR FREIGHT) to ensure timely processing and delivery.

  • Build and maintain strong customer relationships to promote brand loyalty and satisfaction.

  • Collaborate cross-functionally with Warehouse shipping and logistics, Purchasing, Accounting, Technical Care, and Warranty teams to resolve order, confirm product information, or account issues on component orders.

  • Set up and maintain customer accounts in Epicor, including verifying contact, integrating UPS, and managing tax exemptions using Avalara.

  • Monitor and follow up on backorders, user holds, and credit holds to ensure accuracy and timely resolution of component orders.

  • Manage and prioritize workflow through a ticketing system, ensuring all tasks meet department SLA requirements.

  • Provide supporting documentation such as sales order reports, invoices, and order acknowledgements as requested for component orders.

  • Communicate clearly, professionally, and respectfully with customers, team members, and leadership.

  • Escalate complex or unresolved issues to the Component Sales Supervisor as needed.

  • Perform other office duties as assigned by management.

What you should have:
  • Strong attention to detail and accuracy in data entry.

  • Strong decision making and communication (written, verbal, active listening) skills.

  • xperience using an ERP system a plus.

  • Ability to multitask and prioritize effectively in a fast-paced environment.

  • Proficiency in MS Office

  • Bilingual a plus

Education and Experience:
  • High School Diploma/GED required, college degree a plus.

  • 2+ years of experience in order entry, customer service, inside sales or similar roles.
