Job description

A boutique accounting and family office firm is seeking a highly organized and proactive Client Services & Operations Administrator to support its growing team and client base.

This role will begin at 10–20 hours per week, with an hourly rate of $50–$70, depending on experience. The position is in office in San Anselmo.

Working closely with the Founder and accounting team, this individual will help coordinate client operations, accounts payable, bookkeeping, family office activities, and administrative projects. The ideal candidate enjoys creating structure, managing multiple priorities, and delivering thoughtful, high-touch client service.

Responsibilities
  • Coordinate client projects, deadlines, action items, and follow-up.
  • Communicate with clients, CPAs, attorneys, bankers, vendors, and other advisors.
  • Support family office needs, including bill payment coordination, property administration, document management, and vendor oversight.
  • Monitor accounts payable inboxes and assist with invoice review, coding, approvals, and payment preparation.
  • Assist with bank and credit card reconciliations, general ledger entries, and recurring bookkeeping tasks.
  • Organize client documentation and maintain accurate electronic files.
  • Support client onboarding, scheduling, and administrative projects.
  • Help document and improve internal processes and procedures.
Qualifications
  • Five or more years of relevant experience in client services, operations, administration, bookkeeping, accounts payable, family office support, or professional services.
  • Bookkeeping and accounts payable experience, including reconciliations and invoice processing.
  • Proficiency with QuickBooks Online or similar accounting software.
  • Exceptional organization, attention to detail, communication, and follow-through.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience in a family office, CPA firm, wealth management firm, law firm, or similar environment is preferred.
