This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Onboarding Operations Specialist based in Netherlands.

This role offers the opportunity to own the complete onboarding journey for businesses joining a fast-growing digital platform.
You will manage customer verification processes, balance regulatory requirements with customer experience, and help organizations activate faster.
Working at the intersection of compliance, operations, and product improvement, you will identify friction points and create scalable solutions.
You will be responsible for making onboarding smoother while maintaining strong risk standards and operational excellence.
This position requires a customer-focused mindset, strong judgment, and the ability to improve processes rather than simply manage tasks.
You will join a remote-first environment where ownership, autonomy, and continuous improvement are central to success.

Accountabilities:

As an Onboarding Operations Specialist, you will own the onboarding lifecycle from initial customer documentation through account activation. You will serve as a key operational partner, ensuring efficient compliance reviews, delivering excellent customer communication, and improving workflows to support business growth.

  • Manage the end-to-end customer onboarding process, from document collection to account approval and activation.
  • Conduct KYC/KYB reviews, including business verification, corporate structure analysis, beneficial ownership checks, and source of funds assessments.
  • Apply onboarding requirements across different jurisdictions while understanding varying regulatory and documentation standards.
  • Act as a first line of defense by applying risk-based judgment and escalating complex cases with clear recommendations.
  • Collaborate with external partners on onboarding questions, exceptions, and information requests while ensuring accurate and timely responses.
  • Serve as the main customer contact during onboarding, clearly explaining requirements and resolving documentation challenges.
  • Partner with sales and internal teams to move customers through onboarding efficiently without compromising compliance standards.
  • Analyze onboarding workflows to identify bottlenecks, improve processes, and recommend automation opportunities.
  • Work with product teams to transform repetitive manual tasks into scalable solutions through better tooling and automation.
Requirements:

The ideal candidate has experience in onboarding, compliance operations, or customer due diligence and can independently manage complex cases in a remote environment. You should combine strong analytical judgment with excellent communication skills and a passion for improving operational processes.

  • 2+ years of experience in KYC/KYB, customer onboarding, compliance operations, or a first-line compliance role.
  • Hands-on experience verifying business entities, corporate structures, and ultimate beneficial ownership (UBO).
  • Working knowledge of customer due diligence requirements across multiple jurisdictions.
  • Ability to distinguish genuine risk indicators from simple documentation issues and apply appropriate judgment.
  • Strong written and verbal communication skills, with the ability to explain complex requirements clearly to customers.
  • Experience managing high-volume cases while maintaining accuracy and prioritizing competing tasks.
  • Ability to work autonomously, take ownership, and thrive in a fully remote environment.
  • Experience with onboarding, workflow, or case management tools and an understanding of process automation opportunities.
  • Familiarity with AI tools for document review, summarization, and operational efficiency.
  • Experience in crypto, digital assets, stablecoins, blockchain-based payments, or related financial technology environments is a plus.
