Location: Santa Monica, CA
Schedule: 100% in-office, Monday-Friday, 8:00 a.m.-5:00 p.m.
Compensation: $80K+ Base salary, commensurate with experience, plus competitive benefits and eligibility for bonus opportunities

We are seeking an experienced, highly proficient, tech-savvy, and exceptionally detail-oriented Client Services Associate to join our growing team. This is an opportunity for a client service professional who understands the pace and precision required in wealth management and can serve as a trusted partner to our Financial Advisors.
The ideal candidate is someone who can hit the ground running-a highly organized, efficient, and solutions-oriented professional who is comfortable working across multiple custodial platforms, systems, and applications simultaneously and takes pride in getting things done accurately and quickly.
As a Client Services Associate, you will support Financial Advisors and their clients across the full account lifecycle. You will be responsible for ensuring that client requests and operational needs are handled accurately, efficiently, and with a high level of professionalism.
Client & Account Service
  • Serve as a trusted partner and advocate for Financial Advisors, helping them deliver an exceptional client experience.
  • Manage client service requests from initiation through completion, ensuring timely follow-up and resolution.
  • Open, maintain, transfer, and close investment accounts across custodial platforms.
  • Manage new account paperwork, account maintenance, registrations, beneficiary changes, and other account-related requests.
  • Process and coordinate client disbursements, transfers, contributions, distributions, and other account transactions.
  • Work closely with custodians and internal teams to resolve account and operational issues.
  • Communicate professionally and effectively with clients, advisors, custodians, and internal partners.

Operational & Technical Responsibilities
  • Work extensively across several custodial platforms
  • Navigate multiple systems, applications, browser tabs, and online platforms simultaneously while maintaining accuracy and efficiency.
  • Quickly learn and adapt to new technology, systems, workflows, and processes.
  • Utilize Microsoft Office, Adobe, DocuSign, and other technology platforms to complete daily responsibilities.
  • Accurately enter, organize, reconcile, and transfer information across multiple systems.
  • Manage multiple priorities and requests simultaneously while maintaining a high level of attention to detail.
  • Identify opportunities to improve processes, increase efficiency, and enhance the client and advisor experience.
  • Maintain organized and accurate electronic and physical records and perform administrative duties as needed.
  • Other duties as assigned

Experience
  • 3+ years of experience in client services, operations, or a similar role within wealth management or financial services preferred.
  • Demonstrated experience working directly with Financial Advisors and/or high-net-worth clients.
  • Strong experience with Salesforce, Fidelity, and Schwab; experience with all is highly preferred.
  • Hands-on experience with opening, maintaining, transferring, and closing investment accounts.
  • Experience processing client transactions, including transfers, disbursements, contributions, distributions, and account maintenance.
  • Experience working within an RIA, wealth management firm, or investment management environment strongly preferred.

Technology & Efficiency
  • Highly tech-savvy and extremely comfortable working across multiple systems and platforms at once.
  • Ability to efficiently navigate multiple browser tabs, applications, documents, and systems simultaneously without losing accuracy.
  • Advanced proficiency in Microsoft Office, Adobe, DocuSign, and other digital tools.
  • Strong computer skills with the ability to learn new systems and technology quickly.
  • Extremely detail-oriented with a strong focus on accuracy, organization, and follow-through.
  • Able to work quickly and efficiently in a fast-paced environment without sacrificing quality.
