Job description

SMS Equipment is looking for a Service Assistant to provide administrative support to the service department, ensuring the accurate and timely management of work orders, invoicing, and customer communication. Reporting to the Supervisor, this role plays a key part in supporting service operations through efficient coordination, documentation, and reporting within established processes.

Work Location: Fort McMurray, Alberta.
Salary: $60,000 to $65,000 per annum.
Work Arrangement: Fixed on site – working from the office or customer site each day.
Schedule: Monday to Friday.
 
What You'll Do:
  • Open work orders as requested by Foremen and Managers, ensuring all required documentation and system entries are completed accurately.
  • Maintain work orders by collecting and managing information, tracking progress, and ensuring communication between internal teams and customers.
  • Communicate regularly with customer representatives to confirm job status, obtain approvals, and ensure documentation is complete.
  • Monitor job costing and track components to support accurate and efficient service delivery.
  • Close work orders by reviewing documentation, reconciling discrepancies, and ensuring accurate system entries and invoicing.
  • Prepare and send customer documentation, including backup materials and updates as required.
  • Enter service-related data into systems such as SAP and maintain accurate records across platforms.
  • Reconcile daily timecards, labour hours, and work order details to ensure accuracy and timely payments.
  • Support reporting requirements, including activity reports, spreadsheets, and reconciliation summaries.
  • Assist with administrative tasks such as file maintenance, document control, and cross-functional project support.
  • Provide reception coverage and support other administrative functions as needed.
What You Bring:
The successful candidate will have a Grade 12 diploma along with a diploma in Business Administration or a related field, combined with a minimum of two years of experience in a fast-paced industrial administrative environment. You are highly organized, detail-oriented, and bring strong analytical and problem-solving skills to support efficient service operations.

Other requirements include:
  • Experience with invoicing, billing, or payroll-related processes.
  • Strong communication skills with the ability to collaborate effectively across teams and with external stakeholders.
  • Excellent time management and prioritization abilities in a high-volume environment.
  • Proficiency with Microsoft Office applications and administrative systems.
  • Experience with SAP, CDMS, or similar systems is considered an asset.
