Job description

Executive Assistant

Reporting to the COO, theExecutive Assistantwillprovide professional and technical support in scheduling and streamlining resources for the efficient and effective operations, working closely with other leadership to deliver on-time and on-target reports. A very high affinity for confidentiality, precision, team work and collaboration is necessary.

Core Responsibilities:

  • Prepare confidential information for the COO and other executives as necessary.
  • Ensure the proper documentation of meetings and the timely distribution of such documentation.
  • Complete and reconcile expense reports.
  • Coordinate schedules with leadership to ensure that the COO receives all relevant reports.
  • Maintain and update calendars, prepare and format documents, memos, letters, reports and other forms ofcorrespondence.
  • Organize and manage files, reference material and proprietary business information.
  • Manage events activities/conferences, travel schedules, track expenses, plan, and organize, schedules and coordinate meetings and other appointments.
  • Knowledge in creating detailed reports, document and presentations.

Qualifications, Experience and Profile:

  • Bachelor's degree in Business Administration or similar qualification.
  • Five years' experience in a similar position with responsibilities to prepare presentations.
  • Excellent oral and written communication skills.
  • Ability to prepare minutes, action plans, collate and circulate documents in a timely manner.
  • The ability to complete administrative duties timely and accurately with minimum supervision; strong organizational skills.
  • Proficiency in Microsoft Office especially Word, Excel and PowerPoint.
  • Successful experience in a position requiring trust and handling confidential material.
  • Comfort and experience interacting with all levels of the organization, including the leadership team.
  • Self-motivated, outstanding work ethic and tenacious.
  • An eye for detail and aesthetics.
  • Highly organized with penchant for meeting deadlines and business promises and obligations.
  • This is an in-person position based in our offices of Cleveland, Tennessee.
