We specialize in recruiting high-caliber leaders in the green industry, partnering with commercial landscape and construction firms that are growing, modernizing, and building future-forward teams. This role is one of the most impactful positions we are filling this year.

The Operational Core of a Growing Company

This isn't just an office management job. It's a chance to serve as the operational backbone of a 40+ year commercial landscape and construction firm in the middle of a meaningful expansion. As Office Manager, you will oversee the administrative team, lead accounting operations, support payroll and HR functions, and connect every moving part that keeps a 100+ person, multi-division business running smoothly.

You will report directly to the Controller and carry real authority across finance, people operations, contract administration, and field coordination. The company is family-owned, second-generation, and built on process discipline and client excellence. They are expanding into Westchester County, NY and Northern New Jersey, and they need an A-plus operator to grow with them.

Key Responsibilities

  • Oversee accounts payable in Sage 300 CRE, including PO processing, vendor invoicing, payments, and expense tracking via Concur
  • Support accounts receivable, billing, and collections in Aspire
  • Apply strong knowledge of cost codes, departmental allocation, and accurate expense coding
  • Partner with the Controller on month-end close, audit preparation, and financial reporting
  • Lead and provide guidance to the office administrative team
  • Establish and enforce standard operating procedures across all office functions
  • Partner with the part-time HR lead on onboarding, employee records, and I-9 collection
  • Maintain personnel files in UKG and support digitalization efforts as the company scales
  • Serve as backup to the primary payroll administrator on weekly payroll runs in UKG
  • Manage contract administration, insurance documentation, and renewals
  • Serve as the primary point of contact for branch communications across phone, email, and visitors
  • Support seasonal operations during spring ramp-up and winter snow operations

Qualifications

  • 5+ years of office management, branch administration, or operations administration experience in commercial landscaping, construction, facilities services, or a comparable field services industry
  • Strong accounting background with hands-on AP/AR experience, cost code fluency, and expense tracking
  • Demonstrated ability to lead and manage office staff
  • Proven process discipline: SOP-driven, detail-obsessed, and accountable
  • Advanced Microsoft Office proficiency, especially Excel
  • Valid driver's license; ability to work full-time on-site in North Haven, CT
  • Hands-on experience with Sage 300 CRE, Aspire, UKG, or Concur strongly preferred
  • Bilingual fluency in English and Spanish a plus
  • Familiarity with commercial landscaping or construction seasonality preferred
