Job description

Office Assistant

We are seeking a friendly, detail-oriented Office Assistant to support our Property Management team at Legion Oasis. This role is the heartbeat of our office—providing administrative support, assisting tenants and vendors, and helping ensure smooth day-to-day operations.

Administrative & Office Support
  • Answer and direct phone calls, emails, and walk-in inquiries professionally
  • Maintain organized digital and physical files (leases, tenant records, vendor contracts, compliance documents)
  • Prepare correspondence, notices, reports, and meeting materials
  • Schedule appointments, inspections, meetings, and vendor services
  • Enter and maintain accurate data in property management systems
Resident Relations
  • Serve as the first point of contact for tenants
  • Communicate maintenance requests with the maintenance team
  • Assist with move-ins, move-outs, and tenant communications
  • Distribute notices, keys, and other materials as needed
Leasing & Property Support
  • Assist with lease preparation, renewals, and documentation
  • Schedule and coordinate property showings
  • Track applications and support new tenant onboarding
  • Help ensure compliance with Fair Housing laws and company policies
Financial & Reporting Support
  • Assist with rent tracking, invoices, and receipt organization
  • Enter payments and expenses into accounting or property systems
  • Support monthly reports and basic reconciliation tasks
  • Maintain vendor and service-provider contact records
General Office Duties
  • Order office supplies and keep the office organized
  • Assist with special projects and seasonal needs
  • Handle confidential information with discretion
  • Perform additional administrative duties as assigned
Required Qualifications
