Job description

MAIN FUNCTION:

Performs a variety of medical office support services for Outpatient Services. Primarily responsible for routine office functions, preparation of billing forms, preparation of surgical instrument trays, assistance at surgery, and patient care activities not requiring direct physician supervision, scheduling and pre-authorizations. Reports to Outpatient Services-Director of Operations.

DUTIES AND RESPONSIBILITIES:

Operations Management:

1. Prepares and coordinates daily schedules for providers including scheduling patient appointments (in accordance with established protocols), meetings, onsite/educations programs for client companies, pharmaceutical company representatives, etc. Distributes scheduled information to physician, staff, and outside agencies requiring that information (i.e. hospitals and answering service).

2. Responds to all incoming telephone calls courteously and efficiently. Routes all medically related calls to a nurse or doctor for appropriate action. Screens new patients to ascertain what physician it would be appropriate for them to see.

3. Prepares the patient's chart for provider by assembling and completing paperwork relevant to the specific type of office visit to be conducted either in electronic medical record format or paper chart.

4. Obtains all information necessary for the office visit from the referring provider or patient and relays that information to the appropriate provider. Sends out medical record release forms and medical history questionnaire to patients scheduled for extensive new visits.

5. Orders supplies as necessary.

6. Sorts and distributes mail daily as needed.

7. Copies/scans any insurance information into the computer for proper billing, accepts co-payments/payments and maintains accurate records.

Billing:

1.Verifies patient information, address, insurance, etc.

2.Prepares encounter forms for all office visits, consults, surgeries, etc., including appropriate ICD-9 and CPT-4 coding.

Patient Support:

1. Prepares patients for examination/surgery; blood pressures, venipunctures, etc.

2. Prepares surgical instruments; cleans and sends for sterilization according to protocol; set-up of surgical trays and other associated instruments.

3. Assists physician during examinations, surgical procedures and suture removal as necessary.

4. Under the direction of provider does prescription renewals and ancillary testing (i.e. EKG and spirometry).

5. At the request of office provider(s) and in consultation with the patients, schedules follow-up visits, consultations, referred testing, in-patient admission and so forth. Forwards any appropriate material needed by the consultant.

6. Maintains system to ensure timely receipt of all consultation reports and referred testing results. Follow-up associated problems, missing information, etc.

7. Obtains pre-certification clearances required for medical testing and submits necessary paperwork. Follow-up on requests when pre-certification is not received in a timely manner.

8. Telephones patient with test results and follow-ups with appropriate referral.

9. Performs waived laboratory testing in a timely manner and reports results.

10. Provides age appropriate care to neonate, infant, children, adolescent, adult and geriatric patients.

11. Is responsible to know the proper protocol for disposing of regulated medical waste.

Medical Documentation:

1. Transcribes physician's notes and updates patient medical records if required.

2. Is responsible to scan/file results of testing, consults or any other medical record according to office protocol.

3. Processes patient request for information, copies of office medical records and distributes as necessary.

4. Assists with the preparation of Worker's Compensation forms and monitors associated paperwork to ensure progress of compensation cases. Obtains information from the patient's chart and prepare C-4 forms for billing on Worker's Compensation claims.

5. When Billing Department prints C-4's checks them for accuracy and forwards to physician for signature. After signature is obtained, forms are copied/scanned and placed in medical record and original is sent to billing for processing.

Other:

1. Assists Administrator, physician(s), nurse(s) and other staff with other practice related functions as required.

2. Functions with awareness for safety of patients, co-workers and self (i.e. OSHA compliance).

3. Is responsible to attending mandatory annual educations programs and participates in the process as appropriate.

4. Employee understands and demonstrates the importance of satisfying the needs of the customer/patient by interacting with him/her in a friendly and caring way, being attentive to the customer's needs, both psychologically and physically, and by taking the initiative to maintain communication with the customer in order to provide a secure and pleasant experience with the Arnot Health.

EDUCATION:

High School graduate or equivalent. Graduate of certified program required with certification as per program requirements. Must maintain current certification.

EXPERIENCE:

Minimum three years experience as a medical office assistant preferred. Experience with coding helpful.

CARDIOPULMONARY RESUSCITATION (CPR) REQUIREMENTS:

Basic Life Support (BLS) required within 90 days of hire date.

PHYSICAL DEMANDS:

Light physical effort. Typical office job.
