About the Role

We’re looking for an Office Coordinator to support our day-to-day office operations in Westmont, IL! In this role, you’ll serve as the first point of contact for visitors and employees, while ensuring the office runs smoothly, efficiently, and professionally.

The ideal candidate is organized, proactive, detail-oriented, and customer-focused, with the ability to manage multiple priorities in a fast-paced environment.

Requirements:

Key Responsibilities

  • Serve as the primary point of contact for the office, welcoming visitors, responding to general inquiries, and maintaining a professional front office environment.
  • Coordinate day-to-day office operations, including supplies, common areas, office equipment, building maintenance, cleaning, and repair needs.
  • Provide general administrative and office support to employees and management, including assistance with travel, expenses, and other business needs as necessary.
  • Manage company card activity and expense reconciliation for office operations, travel, and other business-related purchases.
  • Coordinate conference rooms, meeting logistics, catering, employee activities, and small office events.
  • Provide administrative support to the CEO as needed, including calendar coordination, travel, expenses, and other requests.
  • Manage incoming and outgoing mail, packages, and shipments.


Qualifications

  • High school diploma or GED required; associate’s degree preferred.
  • 2+ years of administrative, office coordination, front desk, or related experience preferred.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • SAP or similar ERP system experience preferred.
  • Strong organizational, prioritization, and time management skills.
  • Excellent communication and interpersonal skills with a service-oriented approach.
  • Ability to work independently, take initiative, and adapt to changing priorities.
