We are seeking a highly organized and proactive Office & Facilities Manager to oversee day-to-day operations of our Washington, DC office. This role ensures a seamless, safe, and high-performing workplace for executives and staff, while also providing administrative support to senior leaders.

You’ll play a visible role supporting executive operations and shaping the experience of a dynamic, globally connected office.

Work Environment

  • Based in our Washington, DC office supporting ~10–15 executives and visiting global leaders

  • Primarily onsite (especially Tuesday–Thursday), with flexibility required based on executive schedules and events

  • Occasional early or late hours to support meetings and office activities

Key Responsibilities

Facilities & Office Management

  • Serve as primary point of contact for all facility operations and vendor management

  • Partner with property management and internal teams to maintain a safe and efficient office

  • Manage office supplies, equipment maintenance, and workspace setup

  • Coordinate office moves, furniture setup, and space planning

  • Lead safety and security programs, including OSHA compliance

Operations & Financial Management

  • Manage purchasing, invoice processing, coding, and expense tracking

  • Support budget preparation and monitor office-related expenses

  • Maintain strong vendor relationships and service quality

Executive & Administrative Support

  • Provide flexible, high-touch support to senior leaders (calendar, travel, meetings, expenses)

  • Support visiting executives and provide backup administrative coverage as needed

  • Coordinate conference rooms, meetings, and A/V logistics in partnership with IT

Employee Experience & Events

  • Support onboarding logistics (badges, orientation, workspace setup)

  • Plan and coordinate meetings, events, and trainings

  • Ensure a clean, organized, and welcoming office environment

  • Drive improvements to office processes and standard operating procedures

Qualifications

Required:

Preferred:

  • Experience supporting senior executives

  • Experience managing budgets or vendor relationships
