Office Manager

Location: Downtown Chicago, IL (Training)

Schedule: Full-Time | Mondayโ€“Friday | 100% Onsite

Salary: $43,000โ€“$58,000 annually

Join Our Team!

We're looking for a professional, organized, and customer-focused Office Manager / Receptionist to join our growing team. This is a unique opportunity to help launch a brand-new office while receiving hands-on training from an experienced Office Manager in our downtown Chicago location.

This role will begin in our Downtown Chicago office for training. Once training is complete and our new office opens toward the end of the year, you will transition to our Oak Brook, IL office as the primary Office Manager/Receptionist. This is a 100% onsite position , offering the opportunity to become an integral part of a collaborative and growing team.

What You'll Do

  • Serve as the first point of contact for visitors, clients, vendors, and employees.

  • Answer, screen, and route incoming phone calls professionally.

  • Welcome guests and ensure a positive first impression.

  • Coordinate conference room scheduling and assist with office seating arrangements.

  • Keep the reception area, common spaces, and supply areas clean, organized, and well-stocked.

  • Receive, sort, and distribute incoming USPS, FedEx, UPS, and courier deliveries.

  • Coordinate ground transportation for visitors when needed.

  • Support administrative projects, data entry, document preparation, and general office administration.

  • Order and maintain office, breakroom, and kitchen supplies.

  • Stock and maintain supply rooms and cafรฉ areas, including light cleaning of coffee equipment.

  • Handle confidential information with professionalism and discretion.

  • Assist with additional administrative duties and special projects as assigned.

Qualifications

Required

  • 1+ years of experience as a Receptionist, Office Coordinator, Office Manager, Administrative Assistant, or similar role.

  • Excellent customer service and interpersonal communication skills.

  • Strong organizational and multitasking abilities.

  • Professional, polished, and dependable.

  • Proficiency with Microsoft Office Suite, including Excel.

  • Ability to maintain confidentiality and work with employees and executives at all levels.

  • Detail-oriented with strong problem-solving skills.

Preferred

  • Bachelor's degree preferred.

  • Experience in the insurance industry or commercial lines is a plus.
