Evening Office Assistant I

Job Description

The evening Office Assistant I provides general receptionist duties and assistance for instructors at the Adult Learning Center (ALC).

Description of Duties

DESCRIPTION OF ESSENTIAL DUTIES:

  • Provides reception services to ALC visitors and students.
  • Accepts all incoming phone calls, provides individuals with accurate information, and takes messages for appropriate staff/instructors.
  • Performs assessment testing for Adult Education students.
  • Assists in registration for evening students.
  • Secures building in the evening.
  • Performs clerical duties as assigned including but not limited to copying, collating materials for instructors, filing, faxing, and preparing correspondence and forms.

DESCRIPTION OF OTHER DUTIES:

  • Serves as backup for data entry using student information systems (Banner and DAISI) for student registrations, testing, attendance, and progress as required by grants.
  • Performs other job-related duties as assigned.

OVERALL ACCOUNTABILITIES:

PRINCIPAL WORKING RELATIONSHIPS:

  • Reports directly to Adult Learning Center Coordinator.
  • Works directly with ALC staff and faculty.
  • Works directly with the students and visitors.
  • Works cooperatively with all Adult Education and PaCE program staff and faculty and other College-wide employees.
  • Works cooperatively with community agencies as needed.
Education & Experience

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High school diploma or equivalent required.
  • One year office/receptionist experience preferred. Three years of office experience desirable.
  • Strong verbal communication skills required.
  • Ability to maintain confidential information required.
  • Ability to work with diverse populations required.
  • Computer experience with Microsoft Office (Word, Excel, Outlook) preferred.
