We’re looking for an organized, energetic, and service-driven Scheduler / Office Coordinator who thrives in a fast-paced environment and enjoys solving problems, supporting caregivers, and making a meaningful impact in the lives of others.

Position Summary

The Scheduler / Office Coordinator is responsible for coordinating caregiver schedules to ensure every client receives uninterrupted care. This position serves as a central communication hub between caregivers, clients, nursing staff, and office leadership while also providing administrative and human resources support as needed.

Success in this role requires exceptional organization, attention to detail, strong communication skills, and the ability to think quickly in a dynamic healthcare environment.

Primary Responsibilities

Scheduling & Staffing

Coordinate caregiver schedules to ensure all client shifts are staffed.

Proactively fill open shifts at least 48 hours before scheduled start times whenever possible.

Communicate with caregivers via phone, text, and email regarding schedules and shift availability.

Confirm scheduled shifts and follow up on any unconfirmed assignments.

Maintain accurate schedules using our scheduling software.

Complete caregiver schedules by the close of business each Wednesday for the upcoming two-week period.

Collect and document caregiver shift notes.

Adjust schedules based on client needs, call-offs, hospitalizations, and new admissions.

Participate in the agency’s rotating on-call scheduling program, including occasional evenings, weekends, and holidays.

Office & Administrative Support

Assist with onboarding and new employee orientation.

Maintain accurate employee records and electronic personnel files.

Track and obtain updated licenses, certifications, and required employment documentation.

Support hiring and human resources activities during periods of increased staffing needs.

Assist department leaders with administrative projects and daily office operations.

Help ensure the office operates efficiently, professionally, and in compliance with company policies and regulatory requirements.

Team & Operational Support

Promote a positive, collaborative workplace culture.

Support caregiver engagement, communication, and retention initiatives.

Contribute to achieving client satisfaction and operational performance goals.

Maintain a professional office environment and uphold the highest standards of integrity and customer service.

Support the agency’s mission of delivering compassionate, person-centered care.

Qualifications

Required

Experience in scheduling, staffing coordination, service coordination, human resources, healthcare administration, or a related field.

Excellent organizational and multitasking abilities.

Strong written, verbal, and interpersonal communication skills.

Comfortable communicating by phone, text, and email throughout the day.

Proficiency with Microsoft Office and computer-based scheduling systems.

Ability to work independently while collaborating effectively with a team.

Professional, dependable, and detail-oriented.

Preferred

Previous experience in home care, healthcare, or human services.

Experience using scheduling or home care management software.
