Job description

Position Summary:

The Senior Associate is responsible for supporting the operations management team (Senior Manager and Assistant Manager). This role ensures excellent customer service by resolving requests efficiently and seamlessly, maintains all accounting-related administration, and performs administrative and reporting functions that are essential to the daily management of assigned properties. ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย  ย 

Key Responsibilities:
  • Resolve customer service calls and escalated requests, and create and distribute general notices as needed
  • Coordinate with engineering and service providers for timely, quality work, maintain vacant suites, and participate in property walks (landscape/janitorial) to ensure compliance with standards
  • Assist the Operations Manager with tasks, including move-ins and move-outs, business plan preparation, CAM reconciliations, and review and approve customer lease profiles to ensure correct billing, and coordinate minor tenant improvements (e.g., paint/carpet).
  • Prepare and distribute customer billing, track accounts receivable/payable, communicate delinquencies, and process and maintain purchase orders.
  • Ensure compliance of vendor contracts, assist in preparing property and portfolio contracts, and review, audit, and collect customer insurance certificates.
  • Review financial reports, identify and resolve outstanding issues, and maintain and update various databases, spreadsheets, and directories.
  • Facilitate customer events, initiate and assist with special projects, and provide general office support as needed.
  • Support Marketing updates, including WorkLife, website, electronic directories, and amenity management (coordination, communication, etc). ย  ย

  • This position, depending on physical location, may require:
    • Valid California driver's license; Maintain continuous vehicle liability insurance as required by state law. (This role requires the regular and frequent operation of a vehicle, as defined in the Company's MVR policy, and is part of the essential duties of this position.)

Base Pay Range:ย $30.00 -ย $38.17

Actual placement within this range may vary based upon, but not limited to, relevant experience, time in role, base salary of internal peers, prior performance, business sector, and geographic location.
