Job Description:
Title: Business Office Associate - Part-Time
Division: Senior Living
Status: Non-Exempt
Reports to: Business Office Manager/Administrator
Revision date: April 2021
Supervises: n/a
PURPOSE
According to prescribed policies and procedures of the organization including all applicable state, federal and accreditation regulations is responsible for performing accurate, complete and timely general accounting functions and assists with admission processes and site employee relations.
ESSENTIAL FUNCTIONS
  • Completes facility accounting functions as assigned accurately and timely; this may include daily census tracking, petty cash, invoice payment, banking functions, purchase orders, etc.

  • Accurate and timely data entry for resident billing, this may include monthly rate changes, ancillary site charges, resident therapy charges, payment deposits, resident trust fund, and other resident care billing

  • Keeps management informed about any resident concerns or delinquent payments

  • Takes referral calls, assists with prospect tours for residents, families and other influences

  • Completes admission documentation and signings. Tracks admissions and communicates information to departments. Verifies insurance and tracks preauthorization/review for managed care residents.

  • Provides excellent customer service and follow up when answering facility phones and assisting residents/clients, visitors, employees and vendors

  • Processes bi-weekly payroll

  • Completes facility recruiting/onboarding tasks as assigned

  • Creates and maintains employee and resident files

  • Assists with employee relations communication, updates bulletin board areas, posts notices, ensures required law postings are updated, etc.
EXPECTATIONS
  • Demonstrates and maintains a positive, professional manner, manages time efficiently and effectively, provides leadership as a role model to promote a team approach, collaborates and participates in policy creation and appropriate problem-solving methods.

  • Must adhere to all policies, procedures, terms and conditions set forth in the National Church Residences' Employee Information Guide (EIG), the Code of Conduct, as well as any facility handbook, including but not limited to, corporate compliance, drug free workplace, safe work practices, all federal, state, local regulations and laws.

  • With respect to Resident Rights, ensures all care is provided with respect and dignity for the residents/clients, their families and the staff. Reports all complaints made by residents/clients and/or families to the appropriate supervisors, reports all allegations of abuse, misappropriation of funds/resident property and/or any other corporate compliance, drug free workplace, safe work practices, all federal, state and local regulations and laws.

  • Completes all annual education requirements timely, including but not limited to Compliance, Privacy, Security and HIPAA training and exhibits behavior as set forth by the Code of Conduct in the performance of their duties.

  • Performs other duties as assigned.
JOB SPECIFICATION SHEET-Business Office Associate
Education: Prefer Associates Degree in relevant field such as business.
Experience: One to two years in similar position or equivalent experience.
Mental: Must have good communication, comprehension, computer and interpersonal skills. Must have the ability to speak, read, write and understand English
Skills: Must have working knowledge of Windows, Microsoft Office Suite, and World Wide Web.
Licensure: None required
Vision: Normal: Consistent with standard workflow.
