Position Summary: The Office Assistant answers the telephone and greets visitors in a pleasant and professional manner, determines the nature of business, and direct them to their destination. Assist with a variety of office tasks as deemed important for proper function of the school office. Maintain all records with accuracy and integrity. Provide positive assistance to all administrators, teachers, guests, vendors, students and parents.

Knowledge, Skills & Implementation
  • Greet all students, guests, vendors and families respectfully and professionally.
  • Requiring every student, guest, vendor or family to sign-in and identify themselves; providing appropriate passes, request for early dismissal and badges following school protocol. After determining the visitor's needs, direct them to the proper person or area.
  • Answer incoming phone calls in a pleasant, informed manner for the purpose of providing and creating a positive image and first impression of the school
  • Ability to work independently with knowledge of school policies and regulations.
  • Effective communication with staff, students, parents or guests.
  • Equipped with personal integrity, protecting confidentiality of all information related to attendance, discipline issues.
  • The employee shall remain free of any alcohol or non-prescribed controlled substances abuse in the workplace throughout his/her employment in the corporation.

Essential Responsibilities
  • Required to be in attendance at school building during all in-person student instructional days.
  • Monitor teacher and support staff absences and assign substitute coverage, and ensure substitutes have the all appropriate materials to be a guest teacher for the day.
  • Keep principal informed of any issues related but not limited to families, vendors, visitors, students, staff or discipline.
  • Receive deliveries from outside supply and delivery services; arrange for the distribution to proper recipients
  • Make daily public address announcements as needed (general, security, weather, sports and dismissals)
  • Manage lost and found
  • Coordinates the collection and accuracy of timesheets to be finalized and signed by the Principal and ensures the delivery to the Central Office within the specified time requirements.
  • Receive and distribute miscellaneous materials such as school supplies, student lunches, forms, homework, assignments, athletic equipment, etc. left with the front office for students by their parents, and/or others
  • Maintain attendance records, preparing detailed reports when needed and keeping principal informed.
  • Maintain confidentiality and exercise discretion at all times
  • Monitor and manage parental contacts regarding daily student absences and appointments.
  • Provide support to all students as needed
  • Perform other tasks assigned by the principal or other administrative staff as designated by the superintendent

Qualifications & Requirements
  • High school diploma
  • Proficiency in Google and Microsoft
  • Related experience and/or training
  • Previous experience with PowerSchool preferred.
