Corporate Administrative Executive Assistant

Tri-County Electric Cooperative (TCEC)

POSITION PURPOSE:

Provides executive and departmental administrative support to the VP of Corporate Administration. Organizes departmental priorities, records, communications, meetings, reporting, and recurring processes; tracks assignments and deadlines; and assists with the preparation and maintenance of documentation across Corporate Administration functions. Handles confidential and sensitive information with discretion while supporting timely, organized, and effective department operations.

JOB DIMENSIONS:

Internal Responsibility - Provides administrative and coordination support to the Corporate Administration executive, Human Resources, Safety, and other Corporate Administration functions. Works across departments to coordinate information, schedules, records, employee activities, and follow-up items.

External Responsibility - Interacts professionally with applicants, employees, benefit and service contacts, legal and regulatory contacts, and other external parties as assigned while appropriately routing requests and protecting confidential information.

PRINCIPAL ACCOUNTABILITIES:

  • Models the TCEC Essential Attributes as a regular pattern of behavior and self-awareness. Inspires others to do the same.
  • Provides executive administrative support to the Corporate Administration executive, including time management, meeting coordination, correspondence, document preparation, organization of priorities, and follow-up on assigned matters.
  • Provides administrative coordination across Corporate Administration functions, including Human Resources, Safety, Legal, and Internal Communications, and assists with departmental projects, initiatives, and recurring responsibilities.
  • Supports Human Resources administration, including recruiting coordination, candidate communications, pre-employment activities, onboarding, employee changes, personnel documentation, employee records, training coordination, and other HR processes.
  • Supports Safety administration by coordinating safety records, training documentation, meetings, reports, incident-related documentation, recurring requirements, and other safety program activities.
  • Supports Legal administration by organizing legal and claim-related records, coordinating document collection, maintaining matter files, scheduling meetings, tracking requested information and deadlines, and assisting with communications and documentation involving internal stakeholders.
  • Supports Internal Communications by assisting with employee communications, announcements, presentations, events, recognition activities, departmental messaging, and coordination of information for Cooperative-wide distribution.
  • Maintains organized and accurate electronic and physical records across Corporate Administration and assists with document collection, retention, reporting, audits, regulatory requests, and other documentation requirements.
  • Coordinates meetings and departmental activities, prepares agendas and supporting materials, maintains meeting records when needed, tracks action items, and follows up with responsible parties on outstanding items.
  • Tracks departmental projects, assignments, deadlines, recurring requirements, renewals, and other commitments and provides status updates and reminders to support timely completion.
  • Prepares, formats, proofreads, and maintains professional correspondence, reports, presentations, policies, procedures, forms, spreadsheets, and other departmental materials.
  • Handles confidential and sensitive employee, legal, safety, executive, and organizational information with discretion and performs other reasonably related duties as assigned.

MINIMUM REQUIREMENTS:

Education and Experience - High school diploma or equivalent required; associate degree or higher in business, human resources, or a related field preferred. Minimum three years of progressively responsible administrative, executive support, human resources, or related business experience preferred.

Administrative Experience - Experience handling confidential information and coordinating multiple priorities, schedules, records, and deadlines required. Experience supporting an executive or Human Resources function preferred.

Knowledge/Skills/Abilities - Strong organization, attention to detail, written and verbal communication, judgment, and follow-through required. Must be proficient with Microsoft Office and able to learn HR and business systems. Must maintain confidentiality and interact professionally with employees and leadership at all levels.
