Administrative Assistant - Real Estate Management
A busy real estate management company is seeking a dependable, highly organized Administrative Assistant to join our Westchester office. This is a full-time, in-office role supporting day-to-day property management operations, tenant communication, repair coordination, and NYC compliance follow-up.
This position is ideal for someone who is strong on the phone, detail-oriented, persistent with follow-up, and able to keep multiple open issues moving in a fast-paced office environment.
Responsibilities
  • Answer and manage high-volume phone calls from tenants, vendors, supers, and management
  • Receive, document, track, and follow up on tenant repair requests
  • Coordinate with building staff, vendors, and managers to ensure repairs are completed
  • Monitor, track, and assist with resolving NYC HPD violations and compliance issues
  • Communicate professionally with tenants, vendors, city agencies, and internal staff
  • Maintain organized notes, records, follow-up logs, and open-item lists
  • Follow up consistently on repairs, violations, complaints, and pending issues
  • Assist with general office, administrative, and property management tasks as needed
Qualifications
  • Bilingual English/Spanish required
  • Strong phone, communication, and customer service skills
  • Excellent follow-up skills and attention to detail
  • Organized, reliable, and able to manage multiple open items at once
  • Comfortable working in a busy office with urgent tenant and building issues
  • Proactive problem-solver who can keep tasks moving without constant reminders
