BRIEF SUMMARY
The Project Specialist is responsible for managing assigned projects from Notice to Proceed (NTP) approval through Permission to Operate (PTO) and funding completion. Acting as the central coordinator for each project, the Project Specialist works across Sales, Field Operations, Finance, Administrative Operations, and other internal teams to proactively remove obstacles, maintain project momentum, and ensure milestones are completed on schedule. Success is measured by the timely progression of projects through the pipeline, a seamless experience for customers and internal partners, and consistent adherence to established operational standards and service level agreements.
ESSENTIAL FUNCTIONS
Project Pipeline Management
  • Own the successful progression of assigned projects from Notice to Proceed (NTP) approval through Permission to Operate (PTO) and funding completion.
  • Monitor project milestones, identify risks, and take proactive action to keep projects moving according to established timelines.
  • Maintain accountability for the funding process and ensure all required documentation and approvals are completed accurately and on time.

Cross-Functional Coordination
  • Serve as the primary point of coordination for assigned projects by working collaboratively with Sales, Field Operations, Finance, and Administrative Operations.
  • Identify and resolve project obstacles by proactively engaging the appropriate departments to keep projects on schedule.
  • Ensure clear communication and alignment among internal stakeholders throughout the project lifecycle.

Data Accuracy & Documentation
  • Maintain accurate and timely project records within Jobflo and other company systems.
  • Record key project milestones and funding dates as they occur to ensure reporting accuracy and real-time pipeline visibility.
  • Ensure project documentation is complete, organized, and compliant with company standards.

SLA & Pipeline Performance
  • Manage assigned projects in accordance with established pipeline service level agreements (SLAs).
  • Monitor milestone performance, proactively address projects approaching SLA thresholds, and escalate risks that may impact project timelines.
  • Maintain accountability for meeting individual pipeline performance metrics.

Customer Communication
  • Provide proactive, timely, and professional communication to customers throughout the project lifecycle.
  • Follow established customer communication standards, including Call Pilot and scheduled touchpoints, to keep customers informed of project progress and next steps.
  • Deliver a positive customer experience by anticipating questions and resolving concerns promptly.

Operational Improvement
  • Identify recurring process issues, project delays, and operational inefficiencies affecting assigned projects.
  • Document trends and communicate root causes and improvement opportunities to the Customer Operations Manager.
  • Contribute to continuous improvement initiatives that enhance project flow, customer experience, and operational efficiency.

Scheduling Coordination
  • Partner with the Installation Scheduling team to ensure projects are scheduled appropriately and remain aligned with project readiness and operational timelines.
  • Communicate scheduling changes and project updates to internal stakeholders to minimize delays and maximize installation efficiency.

KNOWLEDGE, SKILLS & EXPERIANCE:
Required:
  1. High School Degree
  2. 3+ years related experience in Customer Service or Project Management
  3. 1-2 years related experience in Solar, Roofing, or General Construction
  4. Ability to make sound, independent judgments
  5. Capacity and desire to expand knowledge of software capabilities
  6. Take initiative to plan, organize, and complete assignments independently
  7. Initiate, maintain, and complete both short term and long-term projects simultaneously
  8. Able to work independently and work effectively as a member of a team
  9. Able to handle regular interruptions to serve the needs of others while maintaining focus on multiple priorities and short and long term deadlines
  10. Able to finish projects both quickly and accurately
  11. Able to proactively seek out ways to improve upon existing methodologies
  12. Maintain the highest level of integrity and confidentiality

COMPENSATION:
The expected pay range for this position is $52,000-$66,000. This range reflects the actual range of earnings of employees in this position.
