Notary Signing Agent Assistant information

What is a Notary Signing Agent Assistant?

A Notary Signing Agent Assistant is a professional who supports notary signing agents in preparing, organizing, and managing loan documents for real estate transactions. They help coordinate appointments, communicate with clients, and ensure all documentation is accurate and ready for signing. Their role may also include administrative tasks such as scheduling, data entry, and maintaining records. By streamlining these processes, Notary Signing Agent Assistants allow notary signing agents to focus on the actual notarization and signing of documents.

What are the key skills and qualifications needed to thrive as a Notary Signing Agent Assistant?

To thrive as a Notary Signing Agent Assistant, you typically need strong organizational skills, attention to detail, and familiarity with loan document preparation and notarial procedures, often backed by a high school diploma or equivalent. Knowledge of loan origination systems, document management software, and basic understanding of notary regulations are commonly required. Excellent communication, time management, and customer service skills help you coordinate with clients and handle sensitive information efficiently. These skills and qualities are crucial for ensuring accurate, compliant, and timely completion of loan signings and supporting a seamless closing process.

What are some common challenges faced by Notary Signing Agent Assistants during the loan document signing process?

Notary Signing Agent Assistants often encounter challenges such as coordinating schedules between borrowers, notaries, and lenders, ensuring all required documents are properly prepared and complete, and managing last-minute changes or corrections. Attention to detail is crucial, as even minor errors can delay closings or require re-signing. Effective communication and organizational skills help assistants successfully navigate these challenges and support seamless signing experiences.

What is the difference between Notary Signing Agent Assistant vs Notary Signing Agent?

AspectNotary Signing Agent AssistantNotary Signing Agent
CredentialsMay require notary commission, training in loan documentsMust be a commissioned notary, often with additional certification in loan signings
Work EnvironmentSupport role, assisting signing agents, often in office or remoteConducts loan signings, in person or remote, directly with clients
Employer & Industry UsageLoan signing companies, title agencies, real estate firmsTitle companies, mortgage lenders, signing service providers

The Notary Signing Agent Assistant primarily supports the signing process, often working under a signing agent, while the Notary Signing Agent conducts the actual loan signings. Both roles require notary credentials, but the assistant typically has fewer responsibilities and less direct client interaction. Understanding these differences helps in choosing the right career path or job opportunity in the loan signing industry.

Do notary signing agent assistants make good money?

Notary signing agent assistants typically earn less than fully certified notaries, with income often based on the number of signings completed and the region. While some may earn part-time income, full-time earnings depend on experience, certifications, and workload, with average earnings ranging from a few hundred to a few thousand dollars per month. The role often requires attention to detail and familiarity with signing procedures.

How long does it take to become a notary signing agent?

Becoming a notary signing agent typically involves first becoming a commissioned notary public, which can take a few days to several weeks depending on the state, followed by completing a signing agent training course and passing a background check. The entire process usually takes from a few days up to a few weeks before one can start working in the role.

Which notary signing agent assistant job makes the most money?

Notary signing agent assistants typically earn less than fully licensed notaries, but those with additional certifications, experience, or working for high-volume signing companies can increase their income. The highest-paying roles often involve handling complex or specialized signings, such as commercial or legal documents, and may require advanced knowledge of loan processes and strong organizational skills.

Job description

West77 Partners is a vertically integrated real estate development and investment company. We develop, build, own, and operate โ€” which means the legal work here spans entity governance, real estate transactions, construction contracts, and financing, not one narrow practice area.

We're hiring a Legal Assistant to support Counsel across our enterprise of entities. You'll own the records, the calendar, and the document flow that keeps a multi-entity real estate business organized and in good standing.

What you'll do

  • Support Counsel with drafting, formatting, and organizing corporate and transactional documents โ€” formation documents, operating agreements, resolutions, amendments
  • Maintain corporate governance records across our family of entities: cap tables, entity registers, registered agent filings
  • Track legal deadlines, contract renewal dates, and time-sensitive items on a shared legal calendar
  • Coordinate document execution, including signature routing, notarization, and recording
  • Support contract review and redline tracking for vendor, service, and transactional agreements
  • Assist with due diligence collection for acquisitions, financings, and dispositions
  • Work alongside our finance team on loan documentation, covenant deadlines, and lender requests
  • Maintain organized legal files in line with document retention protocols

What we're looking for

  • 1+ years as a legal assistant, paralegal, loan administrator, or in a related support function
  • Familiarity with corporate governance documents and multi-entity structures
  • Strong organization and attention to detail โ€” you can hold multiple active matters without dropping threads
  • Comfort with document management systems and Microsoft Office
  • Discretion with confidential and privileged information
  • Paralegal certificate, or direct experience with outside counsel or title companies in real estate or construction, is a plus

West77 Partners and its subsidiaries are Equal Opportunity Employers. All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability, or protected veteran status
