Position Introduction:
The Programs and Events Intern provides administrative, logistical and hands-on support to the Programs Team from October 1 through December 30. This temporary internship offers practical experience in nonprofit program planning, event management, volunteer engagement and youth development. Working under the supervision of the Lead Programs Specialist, the intern will assist with planning, preparing and executing Girl Scout events and activities while supporting the delivery of a high-quality Girl Scout Leadership Experience (GSLE). The intern will gain valuable professional experience through both office responsibilities and on-site event execution. Throughout the internship, the Programs and Events Intern will gain hands-on experience supporting a variety of council events, including fall family programs, digital media workshops, overnight outdoor experiences and seasonal celebrations. The intern will participate in every phase of nonprofit event planning, from preparation and logistics to activity facilitation, event execution and post-event evaluation. This position requires strong organizational skills, attention to detail, excellent customer service and flexibility to work evenings and weekends during scheduled events.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Assist the Lead Programs Specialist and Programs Team with planning, preparation and execution of council-wide Girl Scout programs and events.
- Prepare program materials, activity supplies, signage and participant resources. Assist with event registration, participant check-in, event setup and teardown.
- Assist the Lead Programs Specialist with facilitating activities, badge workshops and hands-on experiences during council programs and events, ensuring girls have a safe, engaging and positive experience.
- Lead or assist with age-appropriate activities under the guidance of the Lead Programs Specialist.
- Support volunteers, staff and community partners during program planning and event execution.
- Help organize and maintain program inventory, equipment and event supplies.
- Assist with participant communications, confirmation emails and volunteer correspondence.
- Collect attendance records, surveys and event evaluations.
- Assist with administrative tasks including data entry, filing and program documentation.
- Attend planning meetings and contribute ideas for improving programs and events.
- Assist with vendor coordination, supply management and event preparation.
- Represent Girl Scouts Western Oklahoma professionally while providing exceptional customer service to girls, families, volunteers and community partners.
- Perform other duties as assigned.
EVENT RESPONSIBILITIES (October 1 - December 30)
- Working under the direction of the Lead Programs Specialist, the Programs and Events Intern will assist with planning, execution and evaluation of the following Programs Team events:
- October: Digital Media Series at Camp Trivia
- October: Family Fall Day at Camp Trivia
- November: Digital Media Series at Camp Trivia
- November: Multi-Madness Weekend Campouts at Camp Ekowah
- December: Winter Event at Camp Trivia
- The intern will actively participate in all phases of event delivery, including:
- Event planning and preparation
- Activity setup and cleanup
- Assisting with the execution and facilitation of activities, badge workshops and hands-on learning experiences
- Supporting girls during activities to ensure a fun, engaging and safe Girl Scout experience
- Event registration and participant check-in
- Volunteer support and coordination
- Supply organization and inventory management
- Customer service
- Photography and social media assistance, as assigned
- General event logistics
- Assisting with post-event wrap-up, evaluations and reporting

Required Education and Experience:
Must be currently enrolled in the Fall Term as a student at the University of Oklahoma.

- Previous volunteer, leadership or event experience is preferred but not required.
- Interest in youth development and nonprofit organizations.
- Current college student or recent graduate pursuing a degree in nonprofit management, recreation, education, communications, event management, marketing, business or a related field preferred.
